Summary: The Administrative Assistant will assist associates with day-to-day operational tasks involving front office and back-office functions.  From handling calls and visitors to organizing accounts payable, office supplies, and benefits booklet printing we are seeking someone to communicate with prospects, clients, vendors and affiliates with courtesy and confidence.

 

Essential Duties and Responsibilities:

The Bailey Group receptionist must be able to successfully complete any applicable training programs and possess:

  • Attention to detail and excellent organizational skills.
  • Computer literacy- including Microsoft Windows and Office functionality, including Excel experience (exceeding data entry, specifically including basic formulas and formatting functionality) for general office functions. Capability or comfort in learning Client Relationship Management systems such as AgencyBloc and Salesforce.
  • Previous success in customer service including experience in a multi-line phone system
  • Ability to schedule, create, post and track professional social media content to Linked In, Facebook, etc. using established procedures.

 

Other Duties and Responsibilities

  • Utilizing computer skills for data review, data entry and report generation
  • Maintaining availability and scheduling of multiple conference facilities
  • Preparing conference facilities, lobby and public spaces prior to and following visitors
  • Administrative duties assigned such as UPS mail tracking, accounts payable data entry, reporting and other administrative tasks that may be periodically needed (ex. envelope stuffing, mail labels, etc.)
  • Being responsible for printing client booklets (on in-house copiers) with attention to detail and timeliness.
  • Inventory, ordering and submitting payment for office supplies, to ensure all associates have the tools they need. Unboxing and organizing supplies as necessary.
  • Calling prospects, clients, vendors, and staff as directed by administration
  • Preparing Welcome Screens with current vendor logos, when needed
  • Ensuring that guests have signed in on the Visitors Tablet and that they are comfortable while waiting, including offering guests coffee or water
  • Offering prospects, clients, vendors and staff courteous guidance (whether in person, phone or virtual)
  • Ordering and creating necessary documents such as flyers and business cards – to include approving proofs and submitting invoices for payment
  • Completing all projects in a timely and professional manner, assisting all associates as needed.

While performing the duties of this job, the employee is regularly required to sit, and use hands to handle or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand and walk. Specific vision abilities required by this job include close vision and distance vision.

 

Education and/or Experience:

  • High School graduate (or equivalent),
  • Must be 18 years of age or older.

Must be willing to submit to a background investigation; any offer of employment is conditioned upon the successful completion of a background investigation.

The base salary range for this position is $50,000 – $58,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
