As a Provider Services Coordinator I, you’ll tap into your passion for helping others by serving as the primary contact for dental providers and their office staff. Acting as a vital link between providers and internal teams, you’ll proactively communicate, promptly respond to inquiries, educate providers on processes, and maintain accurate provider data. Through exceptional customer service and thorough outreach, you'll simplify interactions, enhance provider satisfaction, and continually improve the provider experience.

The pay range for this position In Western Washington varies between $40,905.00 – $55,298.00, and for Eastern Washington varies between $40,560.00 – $54,416.00. Washington Dental Service and its affiliates, including Arcora Foundation, Delta Dental of Washington, and TriForza intends to offer the selected candidate a base pay within this range, dependent on job-related, non-discriminatory factors such as experience. Base pay will also be adjusted based on the candidate's geographic location.

  • Serve as the primary point of contact, promptly and professionally responding to inquiries from dental providers, office staff, and internal departments.
  • Build and maintain positive relationships, consistently improving provider experience and simplifying interactions.
  • Clearly communicate application processes, requirements, and provider data procedures, proactively addressing provider questions and concerns via phone calls, callbacks, and email.
  • Conduct outreach to obtain necessary documentation, accurately updating and maintaining provider data in management systems.
  • Thoroughly document all interactions based on mode of communication, ensuring accuracy, completeness, and adherence to established turnaround times.
  • Manage the team's shared inbox and hotline, effectively prioritizing tasks and balancing competing priorities.
  • Proactively troubleshoot provider concerns, escalating issues professionally through appropriate channels when necessary.
  • Engage positively in meetings and training sessions, maintaining openness to continuous learning and improvement.
  • Contribute to growing the provider network through education, guidance, and referrals to Provider Ambassadors.
  • Develop and maintain knowledge of company and departmental policies and practices.

Experience, skills, and education do you need to have to succeed in the position: The requirements listed below are representative of the knowledge, skill, and/or ability required to successfully perform the essential functions of the position.

  • 2+ years of experience in customer service, administrative support, or related fields.
  • Strong verbal and written communication skills, maintaining professionalism in all interactions.
  • Ability to manage competing priorities and consistently meet deadlines in a fast-paced production environment.
  • Strong technical proficiency, including accurate data entry, efficient database navigation, and the ability to quickly learn new provider management systems and tools.
  • Excellent interpersonal skills, with the ability to build and maintain positive professional relationships.
  • Demonstrated problem-solving skills, proactive approach, and the ability to escalate appropriately.
  • Detail-oriented with strong organizational and documentation skills, ensuring consistent follow-up practices focused on enhancing provider sentiment and relationships.
  • Ability to maintain confidentiality and professionalism when handling sensitive provider information.
  • Commitment to continuous learning and openness to feedback.
  • Experience with Salesforce Health Cloud and/or Dental on Demand (DoD) or similar platforms preferred.
