POSITION SUMMARY
The Fleet Maintenance Coordinator is responsible for overseeing and coordinating maintenance and repair activities for company tractors, trailers, and yard equipment. This position serves as the central point of contact between drivers, vendors, and the maintenance team to ensure repairs are completed accurately, cost-effectively, and with minimal equipment downtime.
2nd Shift 11:30AM - 8:00PM Monday through Friday
Requirements
ESSENTIAL JOB FUNCTIONS FOR THIS POSITION
- Coordinate and schedule preventive maintenance, repairs, DOT inspections, and warranty work for all fleet assets.
- Serve as the main point of contact for drivers and operations regarding maintenance needs, breakdowns, and service status.
- Open, track, and close maintenance work orders in the fleet management system (e.g., TMT,)
- Review repair estimates and verify accuracy of labor, parts, and vendor invoices before approval.
- Monitor and follow up on equipment at outside repair facilities to ensure timely completion.
- Ensure proper communication of down units and repair timelines to dispatch and operations.
- Assist in managing vendor relationships — sourcing new vendors, obtaining quotes, and monitoring service performance.
- Coordinate roadside breakdowns and towing services as needed.
- Track recurring maintenance issues and report trends to management for corrective action.
- Maintain PM schedules and ensure compliance across the entire fleet.
OTHER SIGNIFICANT JOB FUNCTIONS INCLUDE
- Maintaining regular and reliable attendance, along with being available in an on-call status
- Perform additional duties as assigned
- Comply with company policies and procedures and all applicable laws and regulations
REQUIRED EDUCATION / EXPERIENCE
- High school diploma or GED required; technical or mechanical background preferred.
PREFERRED EDUCATION / EXPERIENCE
- 2+ years of experience in fleet maintenance coordination, trucking maintenance, or shop operations.
REQUIRED SKILLS (TECHNICAL, CLERICAL, LANGUAGE, ETC.)
- Working knowledge of tractor-trailer mechanical systems and DOT/FMCSA maintenance requirements.
- Strong computer skills: experience with maintenance or fleet management software preferred.
- Excellent communication and multitasking abilities in a fast-paced environment.
- Strong attention to detail and organizational skills.
- Ability to work independently and collaboratively with drivers, vendors, and internal departments.
