EMPLOYMENT BEGINS: As soon as possible
PRIMARY PURPOSE:
Support accurate tracking, tagging, and reporting of District fixed assets to ensure sound financial reporting, strong internal controls, and compliance with District policy and applicable accounting standards. Responsibilities include data entry, physical inventory, reconciliations, and documentation of asset additions, transfers, retirements, and disposals.
QUALIFICATIONS: Education/Certification
High school diploma or equivalent required.
Associate’s degree in Accounting, Finance, or a related field preferred.
SPECIAL KNOWLEDGE/SKILLS:
Working knowledge of fixed asset and general accounting concepts (e.g., capitalization, depreciation, disposals).
Proficiency with Microsoft Excel (sorting, filtering, lookups, basic formulas, and pivot tables).
Experience with enterprise ERP fixed asset/finance modules; familiarity with Tyler MUNIS preferred.
Strong organization, accuracy, and attention to detail.
Ability to manage multiple priorities, meet deadlines, and work independently and as part of a team.
Effective written and verbal communication skills.
Valid driver’s license and ability to travel between District locations as needed.
EXPERIENCE:
1–3 years of experience in accounting, finance, or asset management roles.
MAJOR RESPONSIBILITIES AND DUTIES:
Create and maintain fixed asset records in the Enterprise ERP (additions, transfers, retirements/disposals) with proper documentation and approvals.
Tag District property and maintain barcode/tag integrity; coordinate and conduct annual physical inventories at campuses and departments.
Reconcile physical counts to the fixed asset register; research, resolve, and report discrepancies promptly.
Review supporting documents (invoices, packing slips, receipts) for accuracy, completeness, and correct coding.
Support internal audits by providing detailed asset reports and documentation.
Monitor asset activity for adherence to District policy, capitalization thresholds, and accounting standards.
Collaborate with Purchasing, AP, Warehouse, Facilities/Technology, and campuses to ensure timely asset setup and tracking.
Follow all District procedures and regulatory requirements related to fixed asset management and safeguarding of District property.
Perform other duties as assigned.

Maintain emotional control under deadlines and occasional stress.
Perform basic arithmetic (whole numbers, fractions, and decimals).
Physical demands/environmental factors:
Frequent standing, walking, reaching, and repetitive hand motions; occasional lifting/moving up to 20 lbs (occasional heavier items with assistance).
Regular travel to campuses and departments; moderate noise level..
