JOB SUMMARY:

 At Nevada Heart and Vascular Center (NHVC) The Licensed Practical Nurse Scheduler, under the direction of the Clinical Scheduling Manager, this role combines clinical knowledge with administrative efficiency to ensure timely and appropriate scheduling of patient care services within all regulatory, clinical, or required organizational standards. They will be responding to outpatient diagnostic orders from physicians for hospital departments; interpret physician requests for diagnostic test and schedule single to multiple tests according to required patient care protocols. This position requires the ability to determine medical necessity validation and manage medical information along with transpiring medical orders into the health information system. Answer calls using the phone systems, set up exams for patients and handle customer service inquiries. Part of the job will also involve ensuring there is enough time between appointments to allow physicians to complete certain medical examinations and procedures. Other clerical duties may include maintaining databases, faxing, and scanning patient histories, answering phones, and updating patient account information. It is also your responsibility to act in a courteous manner and maintain your composure when dealing with angry or irritated patients. Additionally, you may refer patients to other staff members or physicians, as necessary. You will need to know how to process the required referral forms when necessary.

Requirements

  

Education and Experience:

· High school diploma or GED.

· Associate's Science in Medical Assisting from an accredited university/college and/or 3-5 years hospital, medical office, clinic, or hospital business operations experience

· Licensed Practical Nurse (LPN) License for Nevada Preferred 

· 1-2 years of healthcare scheduling, clinical coordination, or medical office support preferred. 

· General computer skills with working knowledge of word processing, spreadsheet, and email applications.

· Detail-oriented with good analytical and organizational skills.

· Ability to multitask and manage changing priorities in a challenging environment. 

· Understanding of medical terminology and basic insurance procedures. 

· Good people skills with the ability to work cohesively within a team environment.

· Excellent oral and written communication skills to effectively communicate with customers and all levels of management.

JOB KNOWLEDGE:

  • Attention to detail to correctly identify verification/eligibility issues and communicate difficulties with managers.

ESSENTIAL DUTIES:

  • Manage inbound and outbound scheduling calls with empathy, clarity, and HIPPA compliance. 
  • Creates and maintains appointment schedules based on patient needs and directives from medical and clinical staff. 
  • Ensuring the timely and accurate intake and scheduling of patients by gathering and disseminating necessary information to optimize schedule efficiencies and patient flow. 
  • Monitors daily schedules to identify and resolve conflicts or open appointment availability by collaborating with physicians and front office, as necessary. 
  • Completes timely and accurate clinical documentation.
  • Confirm patient eligibility, insurance and authorizations as required. 
  • Provides patient explanation and education as necessary to respond to patient questions.
  • Communicate with patients, family, physicians, and staff as needed to obtain necessary orders and to coordinate the patient's scheduled visits.
  • Assist with  quality assurance and continuous improvement in the scheduling process. 
  • Perform audits as requested by the manager.
  • Assisting with other administrative duties, including copying, scanning, faxing, and emailing.
  • Maintains sensitive customer and company information compliance protocols. 
  • Performs other related duties as required and assigned which may entail assisting related work group.
  • Meets and exceeds short- and long-term goals as established for the department.
  • Reports to work, meetings and professional obligations on time while maintaining a business casual appearance.
  • Participates in administrative staff meetings and attends other meetings and seminars.
  • Recommends innovative approaches, policies, and procedures to influence continuous improvements in the department's      efficiency and services performed.
  • Takes ownership of special projects, research data and follows through with detailed action plans.
  • Actively participates in problem identification and resolution and coordinates resolutions between appropriate parties.
  • Performs other related duties as required and assigned.
  • Adheres to Corporate, Department and HR policies and procedures.

PHYSICAL REQUIREMENTS:

  • The employee is required to have visual and auditory acuity necessary for communications with other employees and/or customers  to meet the business needs of NHVC. 
  • The employee must be able to see written documentation and be able to speak and hear for communication with      employees/customers. 
  • The ability to use a wide array of office equipment  including, but not limited to, a PC, copier, fax, multi-line telephone, etc.      
  • Employees are exposed to general indoor working conditions and may on occasion require light lifting no greater than twenty      pounds and may require offsite travel.
