The Medical Administrative Assistant serves as the primary administrative and operational support to the Brigade Surgeon and medical section (S-1/S-4/S-6 as appropriate) within the Michigan Army National Guard. The incumbent provides technical and clerical assistance in planning, coordinating, and tracking all brigade-level medical readiness activities. This position supports command efforts to achieve and sustain Soldier medical readiness, ensures compliance with Army medical policies and regulatory guidance, and enables efficient medical operations within the brigade footprint.
Administrative and Clerical Support
- Serve as the central administrative point of contact for the Brigade Surgeon Section.
- Draft, review, and maintain correspondence, memoranda, rosters, meeting notes, and medical readiness reports.
- Maintain an organized filing and record system in accordance HIPAA requirements and internal SOPS.
- Track taskers, suspense items, and brigade-level medical actions directed from higher headquarters.
- Assist with administrative preparation for medical events, inspections, and audits.
Medical Readiness and Operations
- Maintain current and accurate brigade-level medical readiness statistics (MRC 1–4, DL1–3, PULHES trends).
- Pull and validate data from MEDPROS, eProfile, and MODS to support readiness reporting.
- Coordinate Soldier Readiness Processing (SRP), Periodic Health Assessments (PHA), and immunization events with subordinate battalions.
- Track and schedule Soldiers for required medical, dental, and behavioral health appointments.
- Monitor medical profiles and line-of-duty investigations to ensure timely resolution and command awareness.
Communication and Liaison
- Serve as liaison between brigade headquarters, subordinate battalion medical sections, and the Office of the State Surgeon (OTSS).
- Coordinate medical data calls, readiness updates, and reporting deadlines across subordinate units.
- Support the brigade surgeon in preparing briefings, presentations, and readiness updates for command and staff meetings.
Requirements
Desired Qualifications:
- Qualified candidates will have 1 year of relevant experience, preferably in the medical records or medical assistance field.
- Experience in MS Office and EMR platforms.
- Clear background check
- Demonstrated ability to handle competing priorities
- DoD experience Preferred
