The Director is responsible for overseeing all administrative and scheduling operations of the Organization. This role ensures efficient front office workflows, optimal patient scheduling, and high-quality customer service. The director will lead a team of administrative staff, coordinate with clinical teams, and implement systems that support timely access to care and compliance with regulatory standards.
- Supervise front desk staff and scheduling coordinators.
- Ensure professional, courteous, and efficient patient interactions.
- Oversee patient registration, check-in/check-out processes, and insurance verification.
- Maintain confidentiality and compliance with HIPAA regulations.
- Develop and manage scheduling systems for therapists, psychiatrists, and other providers.
- Optimize appointment availability and reduce no-show rates.
- Coordinate with clinical leadership to align scheduling with treatment plans and staffing.
- Monitor and report on scheduling metrics and patient flow.
- Oversee transportation services for clients, ensuring timely and safe travel to and from appointments.
- Manage scheduling of transportation resources and staff.
- Coordinate with external transportation providers as needed.
- Monitor transportation performance and resolve issues promptly.
- Hire, train, and evaluate front office and scheduling staff.
- Provide ongoing coaching and performance feedback.
- Foster a culture of collaboration, accountability, and continuous improvement.
- Ensure front office operations comply with local, state, and federal regulations.
- Support accreditation efforts (e.g., CARF).
- Implement quality improvement initiatives related to access and administrative efficiency.
- Manage electronic health record (EHR) scheduling modules.
- Collaborate with IT and clinical teams to troubleshoot and enhance scheduling tools.
- Ensure accurate data entry and reporting.
