Supervises the work of Service Coordinators and Receptionists. Oversees the Service work order billing process to ensure efficient and accurate invoices. Assists with projects and issues concerning customers and employees.
Position Duties/Responsibilities
·Supervises the day-to-day work of Service Coordinators and Receptionists
·Oversees Service work order billing process
·Opens, processes, reviews, adjusts and closes work orders according to company procedures; coordinate payments with customers as needed
·Ensures timely and accurate entry of labor codes, hours, and rates of pay of Parts and Service employees
·Issues and processes purchase orders
·Prepares and conducts annual performance plans and evaluations and monitors/addresses work performance throughout the year
·Negotiates the effective resolution of invoice errors/disputes
·Evaluates billing process and implements required changes to improve accuracy/efficiency
·Trains direct reports. Trains other store employees as needed.
·Facilitates effective communication between Supervisors and Service Coordinators
·Assists Store Manager with projects as needed.
·Compiles required documentation to Caterpillar to resolve product failures and compensation responsibility
·Acts as a liaison between customers, employees, supervisors and Human Resources on various questions or issues
·Plans, coordinates, and facilitates store/branch events as needed
Position Requirements
·Associate's degree in business management or related field or equivalent work experience
·Three to five years of relevant experience
·Previous supervisory experience preferred
·Excellent communication skills including verbal, non-verbal, written and listening skills
·Excellent customer service skills
·Proficient in Word, Excel and timekeeping systems
·Strong multitasking abilities, detail-oriented and self-motivated
·Solid understanding of work area metrics that corresponds to departmental dashboard. Accepts responsibility for improving the results and metrics within their control.
·Understands the value of 6 Sigma in improving the workplace and is a good contributor when asked
