PAY RANGE: $24.00 - $27.00 Hourly;

ESSENTIAL FUNCTIONS

The position of the External Partnerships Coordinator supports the Manager of External Partnerships in developing and distributing materials to support programs for prospective and participating agencies. Works closely with the team for the recruitment, evaluation, enrollment, orientation, and monitoring of existing and new agencies.  Provide guidelines to agencies regarding the storage and distribution of food, record-keeping practices, and maintenance of standards.  Monitors agencies and provides technical assistance according to established guidelines. Support grant-related and Neighbor Intake activities. This role also supports agency-related principle functions such as the All Agencies Conference, Service Planning Area meeting and Agency Newsletter. 


WHAT YOU’LL DO


Agency Relations Support: Assists the Manager of External Partnerships in ensuring high-level service support for agencies, projects, and initiatives. Develop and sustain relationships with agencies through exceptional customer service and help facilitate the transition to the Agency Relations Specialist when appropriate. Assist team in working with community organizations to promote Food Bank programs and logistics coordination, as well as assist with agency support opportunities, including health education, grants support, etc. Assists prospective and participating agencies in storage and distribution requirements, food distribution, and food recipient records and requirements as mandated by federal, state, and Food Bank guidelines. Provides orientations as needed to new agencies joining the Food Bank, including online assessments and communication. Assist with grants and track grant allocations for accuracy and rehoming grant equipment Works effectively with other staff members at all levels of responsibility within the Food Bank.


Event & Program Coordination: Assist the Manager of External Partnerships with planning, scheduling, and/or attending community and other external outreach events, workshops, and meetings, using a combination of virtual and online forums as needed. As directed by the Manager of External Partnerships, assists/attends departmental activities such as the New Agency Orientations, the Annual All Agencies Conference, and other meetings. Supports any needs related to the annual All Agencies Conference and Agency Newsletter.


Administrative & Data Management: Creates and distributes resource information and materials on government programs and subsidies. Assist the Client Data Analyst with onboarding and training the implementation agencies on the Neighbor Intake Oasis Platform. Assists with coordinating allocations and reports for grant-related programs or projects. Prepares monthly activity and monitoring reports, including tracking of agency participation and other reports as required. Assists with surveys, database maintenance, data entry, and other administrative functions as required. Travel to various sites throughout Los Angeles County to attend SPA meetings and monitor prospective and participating agencies according to established guidelines.


QUALIFICATIONS:

  • A Bachelor’s Degree with an emphasis in nonprofit management or a related field is preferred but not required. Three (3) plus years of experience in an Administrative Support role is required.

  • Ability to manage and track grants, including allocation and reporting.

  • Experience in planning, organizing, and coordinating events, workshops, and community outreach activities.

  • Superior interpersonal, communication, and organizational skills are required.

  • Strong presentation skills, including networking and public speaking; bilingual English/Spanish is required.

  • Access to reliable transportation required to travel within Los Angeles County

  • Must be resourceful and possess good analytical skills with the ability to think creatively to solve problems.

  • Ability to work cohesively as a team and independently, demonstrating a service-first ethic.

  • Well-organized and detail-oriented, highly adaptable, and able to maintain challenging projects.

  • Excellent interpersonal communication skills with strong relationship-building skills.

  • Must be proficient in various computer software applications such as word processing, spreadsheets, databases, and presentation or online platforms. 

  • Highly adaptable, flexible, and attentive to details.

  • Tactful, empathetic, and able to maintain confidentiality.

  • May be required to work on weekends or evenings.

  • Possess a valid California Driver’s License and have access to a reliable, insured vehicle. Must be able to travel within Los Angeles County as required. Work assignments may include various facilities and hubs across Los Angeles County, including locations in Los Angeles and the City of Industry, CA. Flexibility to commute between Food Bank facilities as needed is essential.
