As custodian of medical records and itemized statements, manages all clinical record and itemized statement activities and functions in accordance with governing rules and regulations and University/department policies.Job Description
Primary Duties & Responsibilities:
- Oversees all attorney and third-party requests for medical records and itemized statements, including verification of compliance with state, federal and HIPAA laws and regulations. Coordinates entering the request into the Release module in Epic, sending the records in the form and format requested and following all HIPAA, HIM and HIRS policies and procedures regarding release of information.
- Functions as Records Custodian of the Washington University Health Information Management department regarding attestation of medical records and itemized statements. Conducts the review of all medical records and itemized statement requests requiring an affidavit and the execution of the affidavit as Record Custodian on behalf of Washington University.
- Analyzes and interprets legal documents such as Legal Guardianship, Advanced Directives, etc. Evaluates the documents for validity and identify appropriate Epic actions within the patient’s medical record.
- Facilitates general office coverage including answering phones, opening and sorting mail, email and responding to questions regarding medical records and itemized statements from internal and external customers.
- Prepares medical records and itemized statements for the Washington University Legal and Risk Management departments to help facilitate any investigations or ongoing cases.
- Conducts quality audits on the ROI vendor and other Washington University employees that process medical records and itemized statements to ensure accuracy of the disclosure.
- Coordinates the release of information of medical records and itemized statements pursuant to legal requests for records including Subpoena Duces Tecum and Court Orders. Appears as necessary for subpoenas and depositions.
- Collaborates with clinical faculty/staff and department/division administration to follow-up on incomplete or unsigned documentation and patient requests for amendment of records.
- Records and deposits checks received as payment for requests for records and itemized statements via ATM and Cash Pro.
- Arranges the retrieval of inactive charts located at off-site storage with clinical departments.
- Serves as the Release of Information representative at clinical and interdepartmental meetings. Prepares presentations as needed.

This is a temporary position with estimated hours as follows:
Nov/Dec 2025 – March 2026: 15-20 hours weekly
March 2026 – May 2026: 40 hours weekly
