About the Department
To assist with the planning and execution of the Altamonte Baseball Academy. Perform administrative duties to support programs, facility reservations, community events, and staff operations.
Position Duties
- Perform administrative support for the Altamonte Baseball Academy (ABA) as assigned, including but not limited to composing correspondence/memorandums, preparing reports, distributing information to the public, registering participants, reserving facilities and other administrative duties.
- Ability to handle extensive, high volume telephone calls, park visitor inquiries and public communications for recreation facilities.
- Promote the scope of ABA opportunities including its benefits to the community.
- Research and recommend new ideas for continued growth and to enhance existing ABA programs.
- Assist with all operations of assigned ABA programs and events, ensuring all staff and volunteers have the required certifications and background checks to conduct successful programs.
- Administer volunteer background checks using LiveScan fingerprint equipment.
- Assist with preparing, organizing and submitting marketing and public information for the ABA.
- Collect, secure, track and turn in appropriate facility and participant user fees.
- Maintain and provide activity records and reports as assigned.
- Administer the CivicRec and Tyler Munis computer programs for proper daily operations.
- Purchase required supplies, uniforms and equipment for ABA programs and events in accordance with City policy and procedures.
- Responsible for ABA program registrations and facility reservations using the CivicRec computer program.
- Maintain a working knowledge of all ABA programs and events.
- Operate City vehicle for transportation of materials, personnel, and participants.
- Assist with the Department of Leisure Services projects, as assigned. Perform additional duties as assigned. Be available for emergency call-outs. Drive to and from City work sites.
- In the event of an emergency, all employees are considered essential and may be required to perform duties outside of their normal job description.
- Complete required trainings as specified within the City Comprehensive Emergency Management Plan.
Minimum Qualifications
MINIMUM QUALIFICATIONS:
- Associates’ degree or two (2) years of an equivalent combination of education and work experience in recreation, administration or communication.
- Experience in a professional or educational environment to include Microsoft Word, Excel, PowerPoint, Internet search engines, social media (i.e. Facebook and Twitter) and email communications.
- Must be able to work various hours to include evenings and weekends.
- Valid driver license. Must obtain Florida license within thirty (30) days of employment.
PREFERABLE QUALIFICATIONS:
- Bachelor’s degree in Leisure Services or closely related field.
- Experience with varying aspects of Leisure Services.
- Experience with youth baseball programs.
- Professional work experience with recreation software programs or websites.
- Professional accounting or budgeting experience.
- Willingness to adopt AI and emerging technologies.
Other Qualifications
Applicants will be required to complete a Disclosure & Authorization Regarding Background Investigation, a Confidentiality Agreement and the CJIS (Criminal Justice Information Services) Security Clearance process to include national fingerprint-based records check and approval for controlled access to protected information.
Driving history for the past three (3) years must reflect no violations of a driving related felony offense, or driving under the influence (DUI) which includes both drugs and alcohol, reckless driving, or hit and run involving an occupied vehicle or attended property, or an accumulation of traffic violations, plus three (3) points for each attendance at driving school (regardless of whether points were assessed against the license) where the penalty points do not exceed twelve (12).
