Job Description:
The Assistant Referral Clerk coordinates patients’ referrals to a wide variety of specialists, follows up for documentation and consult notes, and maintains accurate records of referral statuses in the electronic medical record (EMR). This position also follows up on radiology orders, assists the front desk, and supports the Medical Records Administrator. In completion of their duties, the Referral Clerk serves as an ambassador from the Health Center to the wider medical community of Central Texas.
Primary Responsibilities
Coordinating Referrals (50%)
Faxes referrals to specialists’ offices and follows up as needed.
Contacts offices for waiting times, self-pay rates, fax numbers, and other referral-related information.
May arrange STAT referrals for patients with urgent needs.
Communicates with patients regarding referral questions or concerns.
For patients referred to the Emergency Room, will follow up by phone within 48 hours and document diagnosis and outcome in note for referring physician.
Referral and Radiology Follow-up (30%)
Periodically faxes specialist offices for consultation notes and documents receipt in the EMR.
Reviews radiology orders for results; follows up with patients to verify completion.
Cancel orders if no response is received.
Assisting Front Desk (10%)
Alternates with the Insurance Data Entry Clerk and the Medical Records Administrator to provide coverage for front desk during lunch, vacation, and sick leave.
Assists with phone traffic.
Assisting Medical Records (10%)
May print and scan health forms and immunization records for incoming students.
Enters immunization data into patient charts.
Supports the Medical Records Administrator with additional documentation tasks as needed.
Required Qualifications:
Current Baylor University graduate student in good academic standing
At least 1 year of experience as a student at Baylor University
Interest in working in a college health environment
Reliable, detail-oriented, and consistent in following through on commitments
Excellent customer service skills
Excellent written and verbal (particularly phone) communication skills
Confidence, persistence, and problem-solving skills
Commitment to maintaining confidentiality and professionalism in all Health Services activities
Preferred Qualifications:
One or more years of work experience in a healthcare setting
Familiarity with medical terminology
