About the Department

JOB SUMMARY:
Perform full-performance work activities in the maintenance of student body accounting and assigned financial records at a district high school.

SUPERVISION:
Positions in this classification are supervised by a designated certificated manager.
Positions in this classification exercise no supervision.

Position Duties

ESSENTIAL JOB FUNCTIONS:
Duties may include, but are not limited to, the following:

  • Receives and issues receipts for funds for various student activity accounts.
  • Records financial transactions of the various assigned accounts using the double-entry bookkeeping systems.
  • Prepares ASB purchase orders for authorized expenditures from student funds and compose corresponding warrants to cover expenditures.
  • Prepares a variety of reports including annual financial reports, daily income and disbursements reports and ticket sales report.
  • Prepares materials for annual audits.
  • Computes and maintains depreciation schedules.
  • Composes letters and memoranda related to assigned activities.
  • Maintains a variety of records including student charges to parents and receive monies in payment.
  • Researches and issues clearance cards to graduating seniors and departing students.
  • Collect fees for school related activities and student charges and processes to appropriate funds.
  • Prepare bank deposits or withdrawals.
  • Maintains payroll records for persons not directly employed by the District.
  • Maintains W-9 files for payments for services and submits yearend report to Accounting Services for IRS reporting.
  • Prepares checks for payment.
  • Maintains scholarship funds.
  • Prepares checks.
  • Makes change and responds to requests for services and information.
  • Orders, sells and receipts tickets to student social and athletic events, yearbooks, activity cards, identification cards, photographs, jewelry, candy and related items.
  • Inventory and store supplies as needed.
  • Prepares cash boxes for student use and special events.
  • Assigns work tasks to any student assistants assigned.
  • Provides school accounting assistance to certificated staff and club advisors, as needed.
  • Operates a variety of office equipment.
  • Prepares District requisitions for student body expenditures.
  • Monitors receipt and disposition of goods for student body purchases.
  • Audit, tabulate, balance, reconcile, and extend data.
  • Performs job related duties as assigned.

Minimum Qualifications

 EXPERIENCE AND EDUCATION/TRAINING:
Two years of paid experience in the preparation and maintenance of financial records for the San Bernardino City Unified School District (for promotional exams or promotional applicants).
-OR-
Three years of paid experience in the preparation and maintenance of financial records within the last 6 years.
Experience in the preparation of financial records in a public entity is desirable. Experience in the preparation of financial records in a school district is highly desirable.
-AND-
High school graduation or the equivalent.

ADDITIONAL SALARY INFORMATION: This is a non-exempt position, Regular Classified Salary Range 38A.  Most positions in this class work 8hours/12months. The probationary period for employees in this classification is six (6) months (or 130 working days of paid service).

THE EXAMINATION:

  • Written Examination. WEIGHT: 100%

  • Performance Examination. WEIGHT: Pass/Fail

  • Only qualified candidates will be invited to participate in the examination process.

  • Successful candidates who pass all parts of the examination process will be placed on the eligibility list in order of their relative merit.

  • Candidates will be notified in accordance with the Personnel Commission Rules.

  • This eligibility list will be active for a period of (1) year.
