Assistant Surgery Center Coordinator
This position works closely with the Surgery Center Coordinator and provides clerical and administrative support. Acts as front desk on surgical days and back-office support on non-surgical days. THIS POSITION WORKS MONDAY, WEDNESDAY, FRIDAY each week. Approximately 20-24 hours per week. Some flexibility in exact hours worked - discussed/agreed to with the selected candidate at time of hire.
The surgery center assistant coordinator position includes scheduling and coordinating surgical procedures, managing patient information, and acting as a liaison between patients, surgeons, and other medical staff. Key responsibilities involve handling administrative tasks like insurance verification and pre-authorizations, preparing patients for surgery by gathering medical information and explaining pre-operative instructions, and maintaining accurate and organized documentation. Basic duties include, but are not limited to:
Core responsibilities
- Scheduling and coordination:
- Schedule all patient surgeries and pre-operative appointments.
- Coordinate with surgeons to organize their schedules.
- Schedule post-operative appointments.
- Arrange for necessary equipment and rooms.
- Patient administration:
- Welcomes and greets patients and visitors in-person
- Respond to incoming phone requests from patients, physicians offices, and hospitals; answer inquiries or refer questions to the appropriate personnel.
- Act as a liaison between patients, surgeons, and primary care physicians.
- Collect and input patient information, including H&Ps, consents, and other pertinent forms.
- Verify insurance and obtain pre-authorizations.
- Assist with insurance denials as needed
- Communicate pre-operative instructions to patients and their families.
- Prepare patient folders and post-op kits.
- Documentation and communication:
- Track and document patient medical information.
- Maintain accurate and organized patient records.
- Handle telephone inquiries from patients, families, and physicians.
- Ensure all surgical cases are scheduled in a timely manner.
- Other duties as assigned
Qualifications
Requirements:
- Must have high school diploma or GED
- Strong organizational skills
- Detail oriented
- Proficiency in basic computer skills and data entry
- Excellent communication and customer service skills
- Positive attitude
- Team player
- Healthcare experience (preferred) but will train the Right person
THIS POSITION IS MONDAY, WEDNESDAY, FRIDAY each week. Approximately 20-24 hours. Closed evenings, closed weekends, closed most major holidays. Some flexibility in exact hours worked - discussed/agreed to with the selected candidate at time of hire.
