Position Summary:
The Budget Coordinator is responsible for assisting in the development, monitoring, and reporting of the organizations budget which includes federal education programs within the school or district. This role ensures that local, state, and federal departmental expenditures align with approved financial plans, prepares monthly federal grant expenditure reporting to TEA, provides accurate financial data to stakeholders, and supports fiscal planning and analysis. The ideal candidate has strong analytical skills, attention to detail, and the ability to communicate effectively with both finance and non-finance staff.
Key Responsibilities:
Assist in the preparation and consolidation of the annual budgets, forecasts grant and
funding budget preparation and reporting
Monitor federal program budgets, including planning, tracking expenditures, and
ensuring funds are used appropriately and within grant compliance
Monitor departmental and organizational expenditures to ensure compliance with local,
state, and federal procurement laws and grant requirements.
Track budget performance and prepare regular financial reports for management
Identify variances between budgeted and actual expenditures, and investigate discrepancies
Provide budget guidance and support to department managers and staff
Maintain accurate financial records, including spreadsheets and budget databases
Support the month-end and year-end closing processes
Participate in financial audits by providing documentation and explanations as required
Recommend improvements to budgeting procedures and financial controls
Provide professional development and technical assistance on local, state, and federal
program requirements to school and district staff
Qualifications: Education & Experience:
Bachelor’s degree in Finance, Accounting, Business Administration, or related field
5+ years of experience in a governmental and public-school setting performing
budgeting, accounting, and financial analysis
Experience with budgeting software and financial systems (e.g., Excel, PowerPoint,
Region One Ascender Software, TEAL, etc.)
Skills & Competencies:
Strong understanding of financial and budgeting principles
Proficient in Microsoft Excel and financial reporting tools
Excellent organizational and analytical skills
Strong attention to detail and accuracy
Ability to work independently and collaboratively
Effective verbal and written communication skills
Preferred Qualifications:
Experience in a nonprofit, government, or education setting (if applicable)
Knowledge of grant budgeting and reporting
Familiarity with GAAP and/or fund accounting
Work Environment:
Office environment (onsite)
Occasional extended hours during budget cycles, audit or reporting deadlines
