JOB TITLE: Medical Assistant/Referral Coordinator

GENERAL SUMMARY OF DUTIES: Medical Assistant duties include performing all clerical and information technology functions for a physician in a clinic setting. This includes primary responsibility of the operation of the electronic health records. You also must be able anticipate physician needs to facilitate the flow of clinic. The ideal candidate demonstrates good judgment, organizational ability, initiative, attention to detail, and the ability to be self-motivated. Must be adaptable and versatile since you will be responsible for many tasks. Good attendance is also an important element of this job since you will be hard to replace. Medical Assistants will assist in examination and treatment of patients under the direction of a physician, interviews patients, measures vital signs and records information on patients’ charts and prepares treatment room for examination of patients.

SUPERVISION RECEIVED: Reports directly to the Office Manager

SUPERVISION EXERCISED: None

EXAMPLES OF DUTIES: (This list may not include all of the duties assigned).

1. Responsible for maintaining all incoming referrals including but not limited to, paper faxed referrals, electronic medical record-based referrals, web-based referrals and incoming call referrals. Other responsibilities include but not limited to:

a. Accurately enters all patient demographics and insurance information into the system.

b. Runs initial eligibility to ensure accurate insurance information obtained. Obtains any authorizations as needed and accurately inputs and ties authorization to the patient’s appointment.

c. Maintains a professional demeanor even when callers are upset, and contacting a supervisor if necessary

d. Send referrals to rendering specialist.

e. Log referrals on referral tracking log and send to Sylvia daily

f. Notify patients of specialist appointments when needed.

g. Document in the referral tab when and where the referral was sent

h. Precert all imaging accept regular X-rays.

i. Follow-up with insurance companies on pending cases.

j. Schedule procedures when needed.

k. Answer phone calls coming into office and check voicemails daily.

l. Help in other positions in the office when needed.

m. Complete all other tasks as assigned.

2. Accurately and thoroughly document medical visits and procedures as they are being performed by the physician, including but not limited to:

a) Patient medical history

b) Procedures and treatments performed by healthcare professionals

c) Patient education and explanations of risks and benefits.

d) Physician-dictated diagnoses, prescriptions and instructions for patient or family members for self-care and follow-up

e) Prepare referral letters as directed by the physician

f) Ensuring all providers notes are closed and signed off same day (or within 24 hours)

g) Returning patient phone calls

h) Calling patients to notify of their lab results

i) Completing any forms for the physician to review and sign off

j) Understand MIPS and how to satisfy measures

k) Understand United Health Care measures and how to satisfy

l) Complete prior authorizations needed for medications

3. In taking patients, performing vitals, performing quality care

4. Pre-visit planning for upcoming clinics.

a. Including but not limited to; reviewing previous notes, checking on past referrals, reviewing imaging and preparing documentation for provider/midlevel.

5. Performs scheduling procedures

6. Handles phone calls, patient complaints, medications, etc.

7. File hospital op notes and dictation

8. Work at satellite locations with the physician

EDUCATION: 1. High School Diploma
