Some of the responsibilities you will own in this role:
- Warmly greet every client entering the hospital, making friendly eye contact and offering professional acknowledgment.
- Maintain a positive, approachable demeanor with a genuine smile and calm, clear communication—both in person and over the phone.
- Actively listen with compassion and empathy to clients’ needs and concerns.
- Quickly assess client and patient needs upon arrival and determine whether a case qualifies as a “stat” or “standard” emergency.
- Triage client inquiries by directing calls, visitors, and messages to appropriate team members.
- Provide emotional support and guidance to grieving pet owners, offering resource materials and handling sensitive situations with discretion.
- Serve as a liaison between clients and service agencies during the handling of pet remains, ensuring an accurate and compassionate process.
- Manage customer service functions, including greeting visitors, answering phones, scheduling, and guiding clients and their pets to exam rooms.
- Present and explain fees, process payments, and ensure accurate documentation of transactions.
- Maintain accurate medical records, chart, and correspondence in compliance with hospital policies.
- Support hospital cleanliness and safety, including light maintenance duties such as keeping reception areas tidy and assisting in the removal of animal waste when necessary.
- Collaborate closely with the clinical team to ensure a seamless client experience.
- Must be available to work evenings, weekends, and overnight shifts as part of our emergency hospital schedule.
Qualifications in Order to Fill Opportunity
- High School Diploma or equivalent required.
- Previous customer service or client service experience is strongly preferred.
- Experience in a veterinary, animal care, or human healthcare/hospital setting is highly desired.
- Excellent communication and interpersonal skills, with the ability to remain calm, compassionate, and professional in high-stress or emotional situations.
- Strong multitasking and organizational abilities—able to manage multiple phone lines, clients, and administrative tasks efficiently.
- Demonstrated attention to detail and commitment to accuracy in recordkeeping and client communications.
- Comfortable using computers and practice management or medical software; ability to learn new systems quickly.
- Team-oriented mindset with a positive attitude and willingness to assist colleagues as needed.
- Reliable and punctual with a flexible schedule, including availability for nights, weekends, and holidays.
- Must be able to lift 30-50 pounds
