General Description:
We are seeking a Real Estate Project Coordinator to join our team. The Real Estate Project Coordinator collaborates directly with firm clients, stakeholders and Real Estate attorneys and other departments across the firm to implement efficient, cost-effective workflows and solutions and insure timely execution of deadline-driven work. This is an internal and external client-facing role responsible for efficient delivery of legal service in the Real Estate Section, ensuring legal team and client requirements are met. The position is currently a hybrid role with specific days required to be in the office, which may change based on the future needs of the Firm or industry standards.
Key Responsibilities and Essential Job Functions:
- Deal administration and management using appropriate technology.
- Follow up with client on administrative info as needed per deal attorney/paralegal request:
- Track and update information needed to ensure billing matters can be opened and billed, assist with billing matters as requested.
- Obtain back title, follow up on status of title and surveys, update deal tracker regarding same.
- Calculate critical dates once a deal is signed and input into deal tracker once approved by deal attorney.
- Review executed contract and title commitment/report in connection with preparation of closing document checklist.
- Update critical date notifications and status in deal tracker as directed by deal attorney.
- Title/Survey
- Assist with administrative title/survey functions, including obtaining surveyor information, obtaining title policy from Landlord, following up and updating system on title status.
- Work with architects, surveyors, and title company to order and obtain survey and title commitment and policy if needed.
- Track the status of title and survey requests and follow up to ensure timelines are met.
- Coordinate payment of title work/policies and recording fees.
- Closing/Delivery Coordination
- Generate closing documents, delivery/rent commencement memos, memos of lease, SNDAs or other pre-negotiated forms that may be attached as exhibits to the agreement.
- Prepare signature packets and coordinate execution once approved by deal attorney.
- Manage/update closing checklist.
- Save final documents to the system and preparing closing binders/files.
- Post-Closing follow up items (for example, getting recorded docs or final policy from Title Company)
- Special projects and duties as assigned.
Required Skills:
- Capable of managing multiple tasks, priorities, and deadlines in a demanding environment.
- Ability to review and analyze complex legal documents and contracts with precision.
- Excellent written and verbal communication skills
- Experience working collaboratively with cross-functional teams and external partners.
Required Qualifications & Education:
- Bachelor’s degree
Preferred Qualifications & Education:
- 3+ years of related experience
- Familiarity with a variety of data management platforms
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Moderate or advanced keyboard usage
