ACCOUNTS PAYABLE SPECIALIST
Reports to: Senior Accounts Payable Specialist
Status: Regular, Full-time, Non-Exempt
Location: Anchorage, AK
JOB SUMMARY: We are seeking a detail-oriented and experienced Accounts Payable Specialist to manage the day-to-day operations of our accounts payable function. This role is responsible for ensuring accurate and timely processing of invoices, expense reports, and vendor payments while maintaining compliance with internal policies and external regulations.
This is a two (2) level job progression. Progression between job levels is based on performance of prior assignments and the demonstrated ability to successfully handle more progressively responsible assignments.
PRIMARY RESPONSIBILITIES

- Assist in process improvement initiatives related to AP efficiency and accuracy
- Responsible for weekly and off-cycle processing of invoices for multiple subsidiaries.
o Review, verify, and process incoming invoices and payment requests
o Request proper coding, approvals, and match with purchase orders or receipts
o Process monthly credit card vouchers and reconcile to statements
o Prepare and process electronic transfers and payments (ACH, wires, checks)
o Upload Positive Pay files timely
o Pay monthly Board Stipends and Fees
o Maintain vendor records and respond to vendor inquiries in a timely and professional manner. - Accounting and clerical tasks related to efficient maintenance
o AP Vendors Set up including obtaining W-9s
o Review vendor statements, invoices, investigate and resolve discrepancies.
o Monitor Check Stock & request orders as needed
o Prepare overnight package for priority checks
o Assist in process improvement initiatives related to AP efficiency and accuracy
o Ensure compliance with company policies and regulatory requirements - Year-end tasks and other assignments
o Assisting with year-end 1099 preparation
o Coordinate with team to close AP on time each month
o Support audits by providing necessary documentation and reports
o Assist with or prepare all Quarterly & Annual Census Surveys
o Assist Shareholder Department with accounting requests - Perform other duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES
- High level of accuracy, attention to detail, and organizational skills
- Ability to meet deadlines, while maintaining accuracy
- Proficient Excel skills
- Excellent communication and problem-solving abilities
- Strong knowledge of accounting principles and AP best practices
- Understanding of general accounting principles, internal controls and budgeting.
- Knowledge of Sage Intacct, Odoo or Concur software applications a plus.
- Knowledge of 1099 Instructions a plus
MINIMUM QUALIFICATIONS
- High School Diploma
- 2+ years of experience in accounts payable or general accounting
- Associate Degree in Accounting (or equivalent) preferred
ADDITIONAL QUALIFICATIONS FOR ACCOUNTING SPECIALIST II
- Associate Degree in Accounting (or equivalent) or combination of 2:1 experience, education, and training.
- Three (3) years of progressive accounting experience; with at least one (1) year at The Aleut Corporation as Accounts Payable Specialist.
