Responsibilities Overview

Kayden Industries is seeking a reliable, organized, and motivated Operations Administrator to join our team in Midland, Texas. The Operations Administrator plays a key role in supporting the Operations team by coordinating purchasing activities, managing vendor relations, reviewing time entries for field technicians, and ensuring operational goals are met efficiently and on time.

This position requires a proactive and detail-oriented individual who thrives in a fast-paced environment and can balance multiple priorities while maintaining accuracy, communication, and professionalism.

Schedule:

  • Regular schedule will be Monday through Friday.
  • Flexibility to work weekends as needed to suit business requirements.

Job Functions and Contributions

 

Procurement & Vendor Management

  • Prepare and process requisitions and purchase orders for all production supplies, materials, and equipment.
  • Review purchase order claims, pricing, and contracts to ensure compliance with company policy.
  • Monitor supplier performance, delivery schedules, and resolve issues related to quality or delays.
  • Support cost management by identifying opportunities to reduce waste and control overhead.
  • Ensure all received goods and services match purchase order requests and are coded correctly for accounting.
  • Assist with sourcing new vendors as necessary and setting them up in our system.

 

Operational Support 

  • Review of time and attendance to ensure hours are entered correctly and notes have been added.
  • Coordinate logistics for vehicle scheduling, shipping and receiving.
  • Assist with inventory control and monthly counts. 
  • Prepare and maintain inventory and procurement reports (monthly, quarterly, and as needed).
  • Collaborate with HR and Operations to support time tracking, payroll preparation, and administrative compliance.
  • Work with Operations leadership to identify and implement process improvements that enhance efficiency and quality.
  • Adding job codes in CANVAS

 

Planning 

  • Proactively plan and schedule meetings and travel for the Operations group.
  • Communicate and coordinate with vendors and internal departments to align priorities.
  • Anticipate scheduling conflicts and resolve them quickly to maintain seamless operations.

 

Additional Responsibilities

  • Support ongoing and new initiatives as directed by Operations leadership.
  • Participate in internal audits and reporting for continuous improvement.
  • Occasionally assist in sales process coordination, including lead tracking and client communication.

 

Qualifications & Requirements

  • 3+ years of administrative, operations, or procurement experience (oilfield or industrial setting preferred).
  • Proficiency in Microsoft Excel, Word, and PowerPoint; experience with SAP ByDesign, ADP, CANVAS or other ERP systems is an asset.
  • Strong organizational, analytical, and time management skills.
  • Exceptional attention to detail and ability to multitask effectively under pressure.
  • Excellent communication skills, both written and verbal.
  • Demonstrated ability to work independently and as part of a team.
