Job Description:

This role is responsible for creating a welcoming and well-organized office environment while supporting daily operations, meetings, visitors, and facilities needs. The position serves as the first point of contact for employees and guests and ensures the office runs smoothly at all times 

Responsibilities

  • Create a welcoming and professional experience for employees and visitors upon arrival
  • Manage visitor check-in and check-out procedures
  • Conduct a daily walkthrough of office floors to ensure smooth operations
  • Maintain and update bio-security system access
  • Coordinate timely installation and removal of seasonal and event marketing materials
  • Support scheduling of client meetings, workshops, and high-volume interview days
  • Prepare meeting rooms with required supplies and refreshments
  • Monitor and maintain adequate stock of office supplies
  • Oversee supply procurement and ordering
  • Process incoming mail and packages and manage outgoing deliveries
  • Provide support with emergency cleanups when needed
  • Contribute to maintaining a clean, organized, and efficient workplace environment
  • Assist employees and guests with arrivals, office orientation, and facility guidance
  • Ensure Audio-Visual equipment is functional and meeting-ready
  • Answer incoming calls professionally and route or document messages appropriately
  • Demonstrate strong working knowledge of office operations and procedures
  • Liaise with building management/landlord to address facilities needs
  • Manage food ordering and ensure meeting needs related to refreshments, snacks, and dietary requirements are me
Qualifications:
  • Prior experience in office coordination, reception, or facilities support
  • Strong verbal communication and professional phone etiquette
  • Ability to multitask, prioritize, and handle time-sensitive tasks
  • Comfortable interacting with employees, visitors, vendors, and building management
  • Detail-oriented and reliable with a proactive service mindset
  • Familiarity with meeting logistics, supply ordering, and basic AV setup
  • Ability to maintain confidentiality and represent the office professionally
Additional Information:
  • This is a contract position
  • This position is onsite 5 days/week, office location: 195 Broadway, New York, NY 10007
  • Rate is $24/hr to 26/hr on W2
