The Foundership and Reservations Coordinator serves a hybrid role, supporting Rodeo Dunes Founders as their primary point of contact while also contributing to overall guest reservation services. This position is ideal for a thoughtful, detail-oriented communicator who enjoys building relationships, managing logistics, and ensuring high-touch service for a range of guests.
This position requires flexibility, sound judgment, and the ability to stay organized while working independently. As Rodeo Dunes continues to grow, this role is expected to evolve, with potential to transition into a leadership position within Reservations or Founder services.
Where soul-stirring golf meets the spirit of the American West. Rodeo Dunes is a public golf resort developed by Michael Keiser, owner of Sand Valley Resort. Set on over 4,000 acres of towering sand dunes reminiscent of the southwest coast of Ireland, Rodeo Dunes is set to become a world-class golf destination. Two course routings are complete – one by the acclaimed duo of Bill Coore and Ben Crenshaw, and the other marking the solo debut of longtime C&C associate, Jimmy Craig. Construction began in the summer of 2024. Primary Duties and Responsibilities
Founder Experience and Communication
·Serve as the primary contact for Founders, both on-site and remotely
·Guide new Founders through an intentional onboarding process, including portal setup and general support
·Personally welcome Founders and help coordinate a smooth, organized arrival
·Arrange Founder tee times and coordinate guest access when needed
·Provide support for off-site lodging, dining, and transportation
·Assist with planning and executing Founder-only events in collaboration with the golf operations and marketing teams
·Help source, order, and track Founder gifts and/or welcome items
Founder Portal Management
·Set up new Founder accounts and ensure welcome materials and access are provided
·Keep the portal updated with upcoming events, announcements, and resources
·Provide basic technical support and help Founders navigate the portal with ease
·Maintain accurate and up-to-date Founder profiles, including visit history, preferences, and communication notes
Quarterly Newsletter – The Spur
·Collaborate with the marketing team to create and distribute The Spur, our quarterly Founder newsletter
FIT & Group Reservations Services
·Respond to public guest inquiries via phone and email with professionalism and warmth
·Book and modify tee times, lodging, and dining using Agilysys Golf and Versa systems
·Manage large group reservations (16+) from initial inquiry and proposal through final payment
·Provide friendly, accurate information about Rodeo Dunes golf courses and on‑property outlets
·Refer guests to off-site lodging, dining, and transportation when on-property options are limited
·Gather complete guest data to build reliable CRM records and assist marketing with data tracking
·Share important guest and booking details with golf operations and marketing teams
·Suggest ideas that improve reservations efficiency, guest satisfaction, and revenue capture
·Perform additional administrative or guest-service related tasks as requested
Qualifications
You’re someone who:
·Is warm, attentive, and professional in your communication
·Understands the dynamic, yet distinct needs of both Founders and resort guests, and can easily shift between duties
·Stays organized and dependable, even during busy stretches
·Balances multiple responsibilities without losing sight of the details
·Is confident using technology including email platforms, spreadsheets, reservations and CRM systems
·Has flexibility to work select weekends, holidays, and event dates
·Can work remotely and independently while staying connected with the team
Preferred experience:
·College degree in hospitality management, business management, or related field
·Background in hospitality, guest services, or concierge roles
·Experience with Agilysys, or other resort reservations system, a plus
·Experience working with VIPs, golf club members, or donor programs
·Familiarity with the game and culture of golf is a bonus
