Position Summary:
We are seeking an organized, detail-oriented, and motivated individual to join our team as an Office & Project Coordinator. This role is ideal for someone who is eager to grow within the residential construction industry, enjoys handling a mix of office administration and light project coordination, and takes pride in keeping things running smoothly behind the scenes.
Key Responsibilities:
Invoice & Budget Management:
- Receive and organize incoming invoices into the appropriate job files
- Assist with invoice payment processing via check or preparing draw requests
- Help track project budgets and expenses
- Communicate with vendors as needed for invoice or payment clarification
Project Coordination Support:
- Assist with ordering gas and electric utility services for new builds
- Help with building permit applications and tracking their status
- Maintain clear and professional communication with homeowners as needed
- Support field supervisors and project managers with documentation and updates
Office Management:
- Keep the office clean, organized, and presentable for staff and visitors
- Organize digital and physical job files and project documents
- Assist with supply ordering and other administrative tasks as needed
Qualifications:
- Excel experience required
- Experience doing bank recs
- Prior experience in an office or administrative role (construction industry a plus)
- Highly organized with strong attention to detail
- Excellent communication and interpersonal skills
- Comfortable learning new software systems and construction processes
- Basic understanding of financial processes (invoices, budgets)
- Self-motivated and eager to grow within the company
- Valid driver's license and reliable transportation (occasional offsite errands may be required)
