JOB TITLE: Tennis/Pickleball Programs Supervisor FLSA Status: Exempt
General Statement of Duties: Performs a variety of administrative and operational duties associated with the operation and management of the HRCA Tennis/Pickleball Program and Tennis Pavilion. Oversees the development and provision of tennis/pickleball programming at the Indoor Tennis Pavilion and outdoor courts available for HRCA programming; oversees the system for general usage of the Tennis Pavilion including block time and walk-on reservations, as well as the tennis/pickleball desk function.
Supervision Received: Works under the supervision of the Sports and Fitness Programs Manager.
Supervision Exercised: Responsible for the supervision of the Tennis/Pickleball Coordinator, the Head Tennis/Pickleball Professional, and any contractors, volunteers, and/or interns.
JOB DESCRIPTION:

- Defines, develops, and implements programs in line with HRCA mission and values, the governing documents of the HRCA Ensures programs and procedures are in compliance through ongoing evaluation of program areas and service delivery.
- Oversees the development, implementation and monitoring of all tennis/pickleball programming including lessons, leagues, tournaments and socials. Takes responsibility for managing general tennis/pickleball facility usage including block time, and walk-on reservations.
- Establishes ongoing relationships with public and private agencies, the school district, businesses, and tennis/pickleball associations to enhance the development of community resources, vendors and contractors to support tennis/pickleball programs and services.
- Initiates, develops, maintains and monitors contracts for tennis/pickleball programs. Sets appropriate guidelines and financial standards for contractors and monitors their work.
- Ensures that all contract information is current and that deadlines are met for payment and development of contracts.
- Completes purchasing for assigned areas. Ensures that purchase orders and check requests are done according to established HRCA procedures. Monitors and manages the use of equipment in assigned areas.
- Oversees the implementation and monitoring of the tennis/pickleball desk function to support membership needs and interests. Implements a customer service model that enhances positive communication and support for all customers, both internal and external.
- Takes an active role in ensuring that financial guidelines are met for the tennis/pickleball programs and tennis/pickleball operational (block time/walk-on reservations) budget. Embraces and supports the operating principles of HRCA recreation programs to meet budget goals by covering direct costs as well as an indirect overhead allocation.
- Monitors program budget information on an ongoing basis for compliance with monthly and annual budget reports. Develops program budget requests as required for the annual budget process.
- Ensures that the staffing process for tennis/pickleball is carefully monitored and controlled. Ensures that all tennis/pickleball staff as well as volunteers are properly recruited, hired, trained, supervised and evaluated.
- Assists with other program and facility areas as needed. Maintains positive relationships with the facilities teams in all four HRCA Recreation Centers.
- Develops assigned sections of the HRCA recreation activity guide ensuring that assigned programs are planned and coordinated with attention to detail and adherence to financial boundaries and established deadlines and procedures.
- Promotes/markets programs by providing written information for monthly HRCA newsletter, preparing bulletin boards, program flyers, and other promotional materials according to established HRCA procedures.
- Performs related duties as assigned and required.
Physical and Environmental Standards: Will be working in both indoor and outdoor environments. Indoor work is in a busy office where noise and interruptions prevail. Outdoor work can be performed in different types of conditions including, but not limited to heat, wind, cold, rain ice and snow. Must be able to frequently sit and occasionally walk, stand, climb, bend, kneel, stoop, reach and lift, push or pull. Manual dexterity is needed to type, write, use a calculator, and answer the phone. The ability to talk and hear via the telephone and through face-to-face communication is needed. Vision requirements include near and far acuity. Upper body strength is a requisite to lift/move a maximum of 40 pounds unassisted and 60 pounds with assistance. Multitasking, meeting deadlines and the ability to both accept and provide direction is required.
Qualifications
QUALIFICATIONS:
Required Knowledge, Skills & Abilities: Strong knowledge of tennis/pickleball programs & services including leagues, tournaments, lessons, camps, socials and special events for participants of all ages. Knowledge of block time and tennis/pickleball reservation scheduling/management. Knowledge of tennis/pickleball desk procedures and customer service functions. Must have management knowledge in planning, organizing, directing, and controlling resources to meet business objectives. Ability to supervise and provide effective support for full-time and part-time tennis/pickleball staff, volunteers and interns. Ability to organize, manage and direct multiple divisions and perform multiple tasks. Computer literate. Ability to effectively communicate, both verbal and written, with internal and external customers.
Must possess a valid driver’s license, a clean motor vehicle record, and meet all HRCA driving policy standards, including pre-approval to drive from the HRCA insurance carrier. Strong situational awareness and adherence to safe driving practices are essential to ensure personal and public safety while working within a vehicle.
Must pass a pre-employment background check and drug screening.

Education: A bachelor’s degree in a related field from an accredited college or university is required.
Experience: Minimum of four (4) years tennis/pickleball program coordination experience including three (3) years in a supervisory role directly related to tennis/pickleball is preferred. Experience must include financial management and business development.
