Position Summary
The Practice Assistant (PA) plays a crucial role in supporting attorneys by performing a diverse range of administrative tasks. The PA must demonstrate a flexible and results-oriented approach to handling the complex and demanding nature of the assigned practice. The Practice Assistant will support attorneys in the M&A/Corporate, Sourcing and Technology Transactions, Americas Competition – Intellectual Property and Americas Competition – Antitrust sections, as well as collaborate with multiple Firm departments to deliver top-tier legal services to clients. The PA will be required to execute a variety of tasks with precision and discretion and will skillfully multi-task and prioritize assignments for multiple individuals. This role demands a high level of organizational skill, attention to detail, and the ability to thrive in a dynamic and fast-paced environment.
Duties and Accountabilities1
- Process conflict requests and new matter requests, including conduct minor research on corporate entities.
- Work with Billing Coordinator to edit billing proformas and send invoices to clients.
- Coordinate and process client Audit Request Letters.
- Draft, proofread for accuracy, and release time entries.
- Coordinate document signing via DocuSign.
- Coordinate sending of client gifts.
- Process expense reports in Chrome River.
- Assist attorney team with travel planning.
- Coordinate printing and indexing of due diligence requests from client data rooms.
- Coordinate internal training for Sourcing and Technology Transactions Group.
- Edit pleadings and discovery documents.
- Edit and run Tables of Contents and Tables of Authorities.
- File and serve pleadings and discovery documents in Federal and State Court.
- Research and stay updated on Federal and State Court statutory rules, local rules and procedures.
- Coordinate scheduling of witness and expert witness depositions.
- Organize and maintain litigation documents in iManage.
- Update attorney bar admission information.
Qualifications
- Proven ability to work effectively in a demanding legal environment, demonstrating excellent interpersonal skills and professionalism when liaising with attorneys, staff, and clients at all levels.
- Over 5 years of law firm experience.
- Extensive knowledge of Superior and District Court rules, procedures, and practices, as well as a solid understanding of Appellate Court processes.
- Highly adept at managing multiple tasks and prioritizing responsibilities in a fast-paced, deadline-driven setting.
- Skilled at interpreting, understanding, and following detailed instructions with accuracy and efficiency.
- Strong written and verbal communication skills, with a keen eye for detail and clarity.
- Exceptionally organized and thorough, with a consistent commitment to follow-through and high-quality work.
- Demonstrates a proactive, positive attitude and a self-motivated approach to responsibilities.
- Able to work independently with minimal supervision, while also being a reliable and collaborative team player.
