As the HR & People Operations Coordinator, you play a vital role in supporting the full employee lifecycle — from recruitment and onboarding to day-to-day HR operations and offboarding. You bring precision, empathy, and reliability to every process, ensuring that colleagues experience a consistent, high-quality interaction with HR at every stage of their journey. 
Reporting to the HR Manager, you’ll help the HR team deliver seamless and compliant operations across the Americas Division. Your work supports critical HR processes such as data management, onboarding logistics, HR systems accuracy, policy administration, and colleague communications.

Whether preparing an offer letter, coordinating onboarding, processing a change in ADP, or assisting with engagement initiatives — your focus is on accuracy, responsiveness, and creating a positive experience for every colleague. 

What you’ll be doing 

  • Support the full employee lifecycle — from onboarding and data management to engagement and offboarding — ensuring accuracy, consistency, and a positive colleague experience. 
  • Maintain and update employee data within ADP Workforce Now and related HR systems, ensuring data integrity, confidentiality, and compliance. 
  • Prepare and process new hire documentation, offer letters, and employment changes in collaboration with the HR Manager. 
  • Coordinate onboarding logistics, including system setup, orientation scheduling, and Day One readiness, to deliver a seamless new hire experience. 
  • Create and edit requisition requests, draft or update job postings, and coordinate approvals with hiring managers and Talent Acquisition. 
  • Monitor the status of open requisitions and facilitate communication between HR, hiring managers, and Talent Acquisition. 
  • Manage shared HR inboxes by providing timely, accurate, and professional responses to routine questions, assigning more complex inquiries to the appropriate HR team member for follow-up, and maintaining documentation of all resolutions. 
  • Respond to general questions about policies, benefits, and HR processes by referencing approved guides and resources — providing factual information only and escalating interpretive questions to the HR Manager or Reward team. 
  • Ensure all required documentation and records are collected, maintained, and stored in accordance with company policy and legal requirements. 
  • Generate standard HR reports, metrics, and data summaries to support HR operations and reporting needs. 
  • Provide administrative and data coordination support to the Reward Team, including assistance with compensation, review logistics, data validation, and survey participation as needed. 
  • Assist in planning and executing HR programs such as onboarding sessions, colleague events, training logistics, and engagement initiatives.
  • Maintain HR templates, trackers, and process documentation to ensure consistency and accuracy across the HR function. 

Who you’ll be working with 

  • HR Manager – You will report directly to the HR Manager, supporting the day-to-day execution of HR processes and serving as a key link between HR operations and the wider colleague population. 
  • Reward & People Analytics Manager – You will provide administrative and data support for compensation cycles, survey participation, and reporting logistics. 
  • Talent Acquisition Partner – You will coordinate job posting updates, requisition requests, and candidate onboarding handoffs, ensuring smooth transitions from offer to start date. 
  • Payroll – You will partner with payroll colleagues to share accurate employee data and documentation for timely and correct processing of transactions. 
  • Hiring Managers – You will communicate regarding requisition details, onboarding tasks, and employee changes, ensuring all actions are documented and completed accurately. 
  • Colleagues Across the Division – You will be a visible, trusted point of contact for standard HR inquiries, providing accurate information, guidance to resources, and warm support throughout the employee lifecycle.
  • Global and Regional HR Teams – You will collaborate as needed to ensure consistency in HR processes and compliance with global and divisional standards. 

This is what you’ll need to be successful in this role 

  • Strong attention to detail and accuracy in managing employee data and documentation. 
  • Proficiency with Microsoft 365 tools and comfort learning HR systems such as ADP Workforce Now. 
  • Ability to prioritize and manage multiple administrative tasks with professionalism and confidentiality. 
  • Clear, courteous, and professional written and verbal communication skills. 
  • Service-oriented mindset with a collaborative and approachable demeanor.

Physical and ADA Requirements 

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Must be able to communicate clearly with employees and external partners in person, virtually, and in writing. 
  • May occasionally need to lift or move materials weighing up to 15 pounds (e.g., onboarding materials, files, or event supplies). 
  • Must be able to navigate an office environment and attend in-person meetings or onboarding sessions as required.
