The Nurse Scheduling Manager is responsible for coordinating and overseeing the scheduling of external home infusion nurses to ensure timely and accurate administration of prescribed therapies. This critical role involves working closely with patients, nursing agencies, and internal pharmacy/logistics teams to align drug delivery, patient availability, and nursing resources. The Manager will also monitor the quality and performance of contracted nurses and will proactively source and onboard new nursing vendors to ensure nationwide coverage and compliance.

Key Responsibilities:

Scheduling & Coordination:

  • Manage the day-to-day scheduling of home infusion visits, ensuring nurses, patients, and medication deliveries are aligned for each appointment.
  • Collaborate with external nursing agencies to coordinate appropriate nurse assignments based on therapy type, geography, and nurse competency.
  • Maintain accurate and up-to-date scheduling records in internal systems.
  • Resolve scheduling conflicts or last-minute changes quickly and efficiently.

Quality Assurance & Oversight:

  • Review nurse documentation and feedback to assess adherence to clinical protocols and service quality standards.
  • Address and escalate any clinical or professional concerns related to nursing performance.
  • Conduct regular audits to validate compliance with internal and regulatory requirements.

Vendor Management & Sourcing:

  • Identify, evaluate, and contract with new nursing agencies to ensure adequate geographic coverage and therapy-specific expertise.
  • Maintain strong relationships with current vendors, including conducting periodic performance reviews and negotiations.
  • Ensure all vendors meet credentialing, insurance, and licensure requirements.

Collaboration & Communication:

  • Serve as a central liaison between nursing agencies, patients, pharmacy/logistics teams, and internal clinical staff.
  • Communicate proactively with patients regarding their scheduled visits and respond to concerns or rescheduling needs.
  • Provide reporting and analytics on scheduling metrics, vendor performance, and coverage gaps.

Qualifications:

  • Required:
    • 3+ years of experience in a healthcare coordination, scheduling, or operations role.
    • Experience working with home health or infusion therapy, preferably including IVIG or specialty biologics.
    • Strong organizational skills with the ability to manage multiple schedules and priorities.
    • Exceptional communication and problem-solving abilities.
    • Proficient in using scheduling systems, EHRs, and Excel/Google Sheets.
  • Preferred:
    • Experience managing third-party vendors or external contractors.
    • Familiarity with accreditation and regulatory requirements in home infusion.
