About the Role:
Hotel Greystone is seeking a detail-oriented and motivated Sales Coordinator to support our dynamic Sales team. Reporting to the Director of Sales, this full-time, on-site position will provide essential administrative and sales support while helping drive the continued success of our boutique property in Miami Beach. This role is ideal for someone looking to grow in hospitality sales, gain hands-on experience, and contribute to both departmental and hotel-wide revenue goals. What You Will Do:
- Administrative Support
- Provide day-to-day administrative assistance to the Sales Department, including managing email correspondence, maintaining files, and updating sales systems (Tripleseat, Stay N Touch, CVENT, Hotel Planner).
- Assist with the creation of detailed group resumes and maintain the department’s monthly/annual sales calendar.
- Provide additional administrative support to the Vice President of Sales for groups and client booking for Hotel Greystone and General Manager.
- Group & Event Support
- Assist in preparing contracts, proposals, and presentations tailored to client needs.
- Support group block management, group block development, booking links, rooming list reservations, reporting, and coordination with Operations and F&B teams to ensure smooth execution of group stays and events.
- Clean and detailed communication with group contacts and guests.
- Lead Management & Prospecting
- Respond to incoming leads from Hotel Planner with accuracy and timeliness (eligible to earn up to 5% commission on closed business).
- Assist in building prospecting lists, preparing presentations, and identifying new business opportunities ensuring a consistent and proactive approach to pipeline growth.
- Support sales outreach efforts by conducting research and updating the client database.
- Client & Partner Engagement
- Assist in coordinating on-site site tours and partner visits.
Help ensure consistent communication and follow-up with local partners, vendors, and travel agents. - Cultivate and maintain relationships with key clients, travel agents, event planners, and corporate accounts to drive repeat business and customer loyalty to include off-site visits and on property site tours.
- Represent Hotel Greystone at industry events, trade shows, and networking opportunities to increase visibility and brand awareness.
- Assist in coordinating on-site site tours and partner visits.
- Reporting
- Provide regular updates to the Director of Sales on sales performance, pipeline activity, and market feedback.
- Stretch Goals (Professional Growth)
- Gain exposure to proactive sales solicitation by shadowing the Sales team in prospecting and client interactions.
- Contribute to achieving additional revenue opportunities through upselling and cross-selling initiatives.
- Develop skills to transition into higher-level sales responsibilities over time, with opportunities for professional development and advancement within the Sales Department.
- Any additional duties or responsibilities tasked by Director of Sales or General Manager.
What you will need:
- Minimum of 1-3 years of hospitality experience preferred (luxury or boutique segment, catering, or operations support a plus).
- Strong organizational skills with keen attention to detail and accuracy, with excellent time management skills.
- Strong understanding of the hospitality industry and trends.
- Excellent written and verbal communication skills; comfortable interacting with clients and colleagues at all levels.
- Highly organized and proactive mind set, proficiency with Google Suite; familiarity with CANVA, Tripleseat, Stay N Touch, or similar systems is a plus.
- Ability to work a flexible schedule, including occasional evenings, weekends, and travel off-site as required.
