Overview: 

History and spectacular landscapes come together, at the foot of the Blue Ridge Mountains. Celebrated landmarks, including Thomas Jefferson's Monticello and the University of Virginia, are clustered here among swathes of the East Coast's most beautiful scenery. The region is also home to over 25 wineries, breweries and cideries. 

This is the setting for Keswick Hall, an impressive 80-room luxury boutique hotel nestled on 600 acres which recently re-opened in 2021 after renovations. Home to the prestigious Keswick Golf Club, Marigold Restaurant, by Jean-Georges, a new luxury spa and sports and aquatics center.

The Luxury Rooms & Group Coordinator is a key operational role at a high-end resort, responsible for managing room inventory, group room blocks, and related reporting to ensure seamless guest experiences and maximize revenue. This position reports directly to the Reservations Manager and works closely with the Director of Luxury Sales & Revenue Management to support both individual and group guests while maintaining the resort’s high standards of service. 

Key Responsibilities: 

Rooms Inventory & Control 

  • Manage hotel room inventory across all channels, ensuring accuracy in availability, allocations, and restrictions. 
  • Oversee blocking of rooms for VIPs, packages, and special events while optimizing occupancy and revenue. 
  • Collaborate with Front Office and Housekeeping to reconcile room status, minimize overbooking risk, and ensure readiness. Group Rooms Coordination 
  • Build, monitor, and manage group room blocks, including cut-off dates, pickup reports, attrition, and release of unused rooms. • Serve as the primary point of contact for group clients and internal stakeholders regarding rooming lists, special requests, and block performance. 
  • Provide timely reports on group pickup, room inventory, and forecasted impact on occupancy and revenue. 
  • Participate in pre-event planning meetings to ensure group requirements are fully met across departments. Attend/ Participate in weekly Sales Meeting. 
  • Perform other duties as assigned.

Reporting & Analysis 

  • Deliver daily, weekly, and monthly reports to the Director of Luxury Sales & Revenue Management on occupancy, group pickup, and room inventory.  
  • Assist in analyzing trends, forecasting demand, and recommending adjustments to room allocations and group block strategies. 

Qualifications: 

  • Bachelor’s degree in Hospitality Management, Business Administration, or related field preferred, or equivalent experience in a luxury hotel/resort. 
  • 2–4 years of experience in rooms control, group coordination, or reservations at upscale/luxury properties. 
  • Strong proficiency with PMS, CRS, and group block management systems. 
  • Exceptional organizational skills and attention to detail. • Excellent communication and interpersonal skills to collaborate effectively with internal teams and external clients. 
  • Ability to analyze booking pace, group pickup, and occupancy trends to inform decision-making. 
  • Flexible to work occasional weekends or holidays as needed for group arrivals/departures.
