Summary
The Sales Systems Administrator serves as the primary subject matter expert and leader supporting the sales organization in the functional success and administration of key sales tools such as HubSpot CRM and Xait CPQ. Working closely with the VP of Sales Operations, this position is responsible for implementing and maintaining a comprehensive sales funnel across the portfolio, including forecasting and modeling. The role supports the overall strategy behind sales applications, ensuring alignment with best practices and user needs. It also involves creating and managing integrations with sales, marketing, and reporting platforms, as well as monitoring software releases to evaluate, install, and train teams on new functionality. Additional responsibilities include performing complex system configuration and maintenance tasks such as automation, process flows, formulas, application creation, product configuration, security, and user access management. The position also oversees database management to ensure integrity through ongoing maintenance, diagnostic testing, and duplicate data cleansing.
Responsibilities
- Platform(s) Management and Optimization: Ensure the Sales Department System platforms are fully leveraged to meet business needs. This includes managing user accounts, workflows, pipelines, custom fields, and ensuring data hygiene/integrity. Note: current systems are CRM (Hubspot), CPQ (Xait), and may change and/or grow over time.
- Collaborate with Marketing: Achieve strategic platform integrations for HubSpot with other systems and tools such as Syteline (ERP), Xait CPQ, social media platforms, lead generation applications, and more. As needed, support marketing initiatives as they pertain to all sales tools, in particular HubSpot CMS and all integrations with the sales organization.
- Integration and Automation: Create and manage sales tool automation workflows to improve efficiency across the organization, regardless of relationship to sales.
- Data Analysis and Reporting: Develop and maintain reports and dashboards within HubSpot to track KPIs across marketing, sales, and customer service. Use data to inform strategic decisions and optimize processes. Support the sales org in all aspects of knowledge mining from sales systems and tools.
- Training and Support: Provide training and support to all sales system users within the organization. Develop documentation, processes, guidelines, and best practices for users.
- Strategy and Innovation: Work closely with leadership to develop and implement strategies that leverage HubSpot capabilities. Stay updated on HubSpot features and industry trends to recommend improvements and innovations.
Required Qualifications
- Bachelor’s degree with 5+ years in business analytics, sales operations, or related roles (3+ years leading analytics/reporting strategy) OR no degree requirement with 7+ years in business analytics, sales operations, or related roles (5+ years leading analytics/reporting strategy).
- Proficiency in CRMs and ERPs.
- Strong attention to detail and highly organized.
- Demonstrated ability to balance strategic vision with hands-on execution.
- Motivated self-starter with the ability to actively listen, collaborate and identify key drivers of cost in the business.
- Expert in MS Excel and MS PowerPoint.
- Strong project and time management skills.
- Motivated, driven, resourceful, innovative, forward thinking and committed.
Preferred Qualifications
- Experience with Syteline ERP.
- Experience with HubSpot CRM.
- Proficiency with BI tools (Power BI).
- Strong understanding of sales performance metrics, forecasting methodologies, and incentive plan design.
- Proven track record of building KPI frameworks and delivering actionable business insights to senior leadership.
- Excellent presentation skills as well as strong verbal and written communication skills.
- Demonstrated desire for continuous learning and improvement.
- Experience operating cross-functionally, engaging both peers and executive audiences.
Location: This position is located on-site in Longmont, CO with the opportunity to work a hybrid schedule once fully trained.
Base Compensation: $70,000 - $85,000 is the projected compensation range for this role depending on the candidate’s overall qualifications and experience.
