POSITION GENERAL SUMMARY:
This position performs clerical and support functions related to the court system. A Domestic Civil Support Deputy Court Clerk will be trained in File and Serve, Odyssey (web-based computer system that manages court cases), and Customer Service Phone Support. Domestic Civil Support Clerks are responsible for monitoring databases, processing confidential documents including new and consecutive filings, scheduling hearings, preparing and distributing official documents and communications, implementing court policies and procedures, and providing phone support to assist parties and the legal community with questions and concerns. 

DISTINGUISHING FEATURES OF THE CLASS:
Work is performed under well established guidelines set forth by Idaho Code and requires a high degree of accuracy and attention to detail. A Domestic Civil Support Deputy Court Clerk performs varied, moderately complex work over a comprehensive realm of legal actions that require the clerk to have a broad knowledge of the court system in order to perform the more complex functions of this job.
 
Work duties are associated with family law cases such as: Divorces With and Without children, Custody and Paternity, Child Support, Civil Protection Orders, and more. Due to the complexity, time-sensitivity, volume of emergency/expedited pleadings, communication scope, and variety of tasks, this is considered an advanced Civil Support Clerk position, requiring a high degree of accuracy and organization in accordance with strict court timelines.

Position Duties

  • Process all types of cases and documents presented to court, handling a high volume of sensitive casework;
  • Administers database management for specific areas of law, maintaining a high degree of accuracy and attention to detail;
  • Processes Civil Protection Orders on a daily basis, maintaining strict court timelines;
  • Communicates extensively and effectively with in-court clerks, in-court supervisors, law enforcement agencies, and judges for the carrying out of sensitive and timely court proceedings. 
  • Creates case files, performs data entry, maintains files and other records;
  • Reviews documents presented for compliance to standards;
  • Sets hearing dates and performs duties related to scheduling and calendaring; 
  • Explains policies and procedures pursuant to requests of the public attorneys and other officials and departments;
  • Provides phone support to customers;
  • Operates office equipment;
  • Researches records requests;
  • Sorts, stamps, records and files a wide variety of legal and judicial materials;
  • Reads and routes incoming mail and assembles files and other materials to facilitate reply;
  • Responds to correspondence;
  • Maintains high level of confidentiality;
  • Receives and processes paper filings, including on-site and in-person processing;
  • Facilitates adherence of business operating hours and court schedules, including arriving punctually and on time for work.

ADDITIONAL FUNCTIONS: 
  • Cross train in other areas to perform the work of others for vacations, illness, etc.;
  • Performs related functions as required.

Minimum Qualifications

  • Must have a high school diploma or equivalent;
  • Knowledge of legal procedures documents and terminology preferred;
  • Skill in the operation of computers, including familiarity with database applications;
  • Skill in coordinating and prioritizing multiple requests; 
  • Ability to review documents for accuracy, completeness, and compliance; 
  • Ability to ensure effective and adequate flow of information with relevant stakeholders;
  • Ability to type documents and correspondence with a high degree of accuracy.
  • Ability to understand and follow verbal and written directions;
  • Ability to communicate verbally and in writing; 
  • Ability to maintain confidentiality;
  • Ability to maintain harmonious working relationships with other employees and the public. 

Other Qualifications

  • May be required to lift or move up to 25 pounds;
  • Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;
  • Requires sufficient personal mobility and physical reflexes, to permit the employee to function in a general office environment and accomplish tasks.
