Basic Function
The PA Office of Attorney General is looking for a detail-oriented administrative professional to join our team in Harrisburg. This position provides support to the Office’s Criminal Law Division. The primary responsibilities include ensuring procurement practices and approval processes are followed; maintaining, reviewing, and approving purchase orders, credit card purchases, and supply orders; answering questions on purchasing processes; and performing travel coordinator functions for personnel. Other duties include processing invoices, maintaining purchasing and payment information, and tracking purchase orders and contracts.
Position Duties
- Serves as a liaison between the division’s agents and attorneys and the Purchasing team as it applies to purchases or payments
- Prepares general invoices when needed and submits documents to the Comptroller Section
- Reviews invoices/bills for accuracy, content, and appropriateness
- Processes invoices and makes other payments; maintaining contracts, purchase orders, and other documentation
- Coordinates with the Procurement team to maintain relevant contracts and renews or extends as necessary
- Reconciles monthly purchasing card expenses, applying charges to the appropriate account code
- Contacts vendors to resolve any issues with billings
- Participates in Fiscal Year purchase meetings to anticipate budgetary requirements
- Collaborates with the Procurement and Finance teams to provide guidance to staff on procurement and contract matters, ordering office supplies, and requesting necessary services and supplies
- Registers and pays registration fees for personnel in connection with training, conferences, and memberships
- Other duties as assigned
Minimum Qualifications
- One year as an Administrative Officer I OR
- Three years of experience in progressively responsible and varied office management or staff work, including experience in personnel management, budgeting, or procurement and a bachelor's degree OR
- Any equivalent combination of experience and training
