POSITION SUMMARY

The Order Entry Specialist is responsible for accurately reviewing and processing customer contracts, managing billing schedules, and ensuring timely invoicing for both new and recurring services. Reporting to the Billing Manager, this role is essential to maintaining billing accuracy and delivering a seamless experience for internal and external customers.This position requires close collaboration with Sales, Accounts Receivable, Sales Operations, Renewals, and Revenue teams to resolve contract and invoice-related issues. The Order Entry Specialist also handles customer inquiries with professionalism, contributes to process improvements, supports audit documentation, and fosters strong relationships across departments and with external clients to ensure high-quality service and operational excellence.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:
•Review customer contracts to ensure accurate subscription setup and prepare detailed billing schedules.•Ensure timely billing of new and recurring customer contracts, while minimizing billing errors and invoice adjustments.•Continuously refine billing procedures to improve speed, accuracy and overall efficiency.•Manage and resolve customer inquiries related to invoicing, ensuring timely and professional communication.•Partner with Sales, Accounts Receivable, Sales Operations, Renewals and the Revenue Team to address and resolve billing discrepancies.•Foster strong relationships with internal teams and external customers through clear and effective communication.•Collaborate with customers and sales teams to obtain necessary purchase orders.•Provide documentation and support for internal and external audits.•Adhere to and enforce company policies and procedures.•Complete ad-hoc responsibilities as required.

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

•At least 4 years of billing experience; prior SaaS B2B or other detailed industry experience preferred•Strong customer service, problem-solving, documentation, research and resolution, data analysis and multi-tasking skills•Undergraduate degree in Scients/Arts.

•Ability to read and interpret sales contracts with a high level of accuracy.•Demonstrate professionalism when dealing with conflict, changing priorities and high-pressure situations•Capable of prioritizing and managing multiple responsibilities with attention to detail and accuracy.•Strong willingness to learn and adapt to changing processes and priorities•Ability to build and maintain effective relationships with customers and internal departments.•Maintains a positive and respectful attitude in all interactions•NetSuite ERP, Zuora, Workday, Salesforce and portal experience is preferred•Regular and reliable attendance required•Ability to work alone with minimal supervision.
