The hiring rate for this position is $20.00 per hour.

POSITION SUMMARY

The Coordinator supports the Manager – Student Work & Service Programs in the coordination, organization and management of activities related to the Federal Work Study placement and institutional work-scholarship programs.  The Coordinator supports overall student satisfaction by assisting with position placement and resolution of student issues during program enrollment.  The Coordinator also supports manager with resolving organizational needs and providing recommendations for program process improvements.  The Coordinator partners with the Center for Career and Academic Advising team to complete department projects as needed.

 

ESSENTIAL RESPONSIBILITIES

  • Coordinates all student work and service programs at the Hyde Park and branch campuses, including Federal Work Study and Earn & Learn Scholarship Program.
  • Maintains a current working knowledge of the Federal Work Study and Earn & Learn programs. Observes all policies as they relate to both programs, ensuring compliance and deadlines are met.
  • Engages with students, parents, and staff to share important information on program details and eligibility criteria.
  • Maintains position descriptions in compliance with program guidelines, and ensures student work and service web pages, forms, processes, and handouts are updated regularly.
  • Assists with the placement of the Federal Work Study positions, including Community Service positions, along with tracking and monitoring hours worked and earnings against their Federal Work Study allowance.
  • Completes all student Federal Work Study new hire paperwork (I-9, W-4, e-verify, re-verify, etc.) in compliance with federal and state regulations and enters data into the HR information system.
  • Provides administrative and coordination support for the recruitment process, including advising hiring managers on posting positions, screening applicants, and initiating hiring requests.
  • Maintains regular communication with hiring managers and prospective student hires to ensure onboarding tasks are efficiently completed.
  • Oversees hire request process, confirming students' work eligibility, preparing offer contracts, and following up on any outstanding contracts.
  • Processes the data entered into the recruitment/applicant tracking system, including updates on all current open positions and status of applicants, and ensures all data is complete and accurate.
  • Assists with finalizing onboarding procedures and confirming hire approvals.
  • Provides support for students and hiring managers with the SETA (Student Employee Time & Attendance), including but not limited to troubleshooting, data entry, editing and corrections, and timekeeping assistance.
  • Assist with timekeeping outreaches with students and hiring managers regarding timesheet deadlines, delinquency, and timekeeping compliance.
  • Provides counsel to hiring managers and students on performance management and employee relations issues. Escalates issues to the Manager as appropriate for resolution.
  • Ensures all students’ progress assessments and disciplinary review are completed by the supervisors by submission deadlines for record keeping.
  • Processes all student employment terminations, suspensions, withdrawals, and leaves of absence and coordinates background investigations where appropriate.
  • Performs audits of hours worked, updates earning tracking for each work program, ensuring accuracy of records, and follows up with the proper parties for resolution as necessary.
  • Process, post, and reconcile student earnings in the college's student administrative software and assist with fund reconciliation and reporting.
  • Maintains the CIA’s Moodle courses for the Earn & Learn Program, ensuring each course has the latest program materials and the information is accessible to registered students and staff.
  • Assists Manager with training and supervision of the department’s student workers.
  • Supports Manager during freshman/transfer information sessions, Accepted Student days and other admissions and student-related events.
  • Collaborates with other offices and departments to provide appropriate resources to students.
  • Assists the Center for Career and Academic Advising department with projects as needed.
  • Provides support for events and department activities as required.
  • Any and all other duties as assigned.

 

REQUIRED QUALIFICATIONS

Education:

  • Associate’s Degree or significant work experience in lieu thereof.

Experience:

  • Minimum one to two years of customer service/support experience within an office environment, or one to two years of higher education experience in student accounts, financial aid, student employment or other related office.

  

PREFERRED QUALIFICATIONS

  • Experience in multiple areas of student services, such as Registrar, Bursar, Financial Aid or Student Employment, is an asset.

  • Ability to work independently or in a team environment, and maintain collaborative relationships with all members of the Career & Academic Advising team.
  • Ability to use sound judgment and discretion in handling sensitive student issues with confidentiality and discretion.
  • Excellent written, verbal communication and presentation skills required. Must have demonstrated ability in organizational, time management, problem solving and interpersonal skills.
  • Must be adaptable, dependable, with the ability to handle multiple priorities simultaneously.
  • Must have a proven, consistent track record showing the ability to work with all levels within an organization.
  • Display a high level of energy and self-motivation.
  • Strong administrative experience with exceptional organizational skills, including the ability to organize the work of others.
  • Strong computer experience required which must include abilities to work effectively with MS Office suite products i.e. Word, Excel, PowerPoint.

 

WORKING CONDITIONS

  • Must be able to have the ability to work at a computer for long periods of time.
  • May need to work overtime on weekends or evenings as required to complete or execute upon assigned projects based upon business needs.
  • Occasionally required to work an alternate schedule to facilitate student events.
