About the Department

Clackamas Community College (CCC) seeks to hire an Enrollment Services Specialist position. This is a part-time, classified, non-union, non-exempt, and non benefits-eligible position that will work at our Harmony Campus. The schedule is Monday to Thursday from 9 AM to 2 PM.

PURPOSE OF POSITION:

  • Provide information about degrees, programs, and services as well as financial aid, advising, transcripts, student account activity, payment plans, add/drop courses, grading options, timelines, and other registration information.

  • Provide first point of contact and information resource for prospective students and current students relating to admission and registration procedures.

  • Serve as liaison for problem-solving with other college departments, students and public

  • Coordinate enrollment processes with other campus locations.

ESSENTIAL JOB FUNCTIONS:

  1. Registration and Records (75%)
    1. Perform data entry and provide student record maintenance. Review and process student documents.
    2. Answer phones, emails, work face to face and in most cases provide the first point of contact for the student and general public.  
    3. Educate students and public regarding all enrollment related processing timelines (i.e. returning/new student registration, petition for graduation, graduation, records, wait list). 
    4. Troubleshoot and respond in a timely fashion to online registration questions and needs.
    5. Prepare and produce official transcripts at student request, enrollment verifications, waitlists and unofficial transcripts as needed. 
    6. Perform cancelled class, administrative withdraw and wait list management processes, prepare reports as assigned (i.e. missing grade, National Student Clearinghouse, honor roll, cancelled class and administrative withdrawal report).
    7. Import archived data from data imaging system as needed.
    8. Maintain current knowledge of college policies and procedures pertaining to admission, registration, records, student accounts and financial aid.

  2. Financial Aid and Student Accounts Support (25%)
    1. Manage large volume of payments with a high degree of accuracy, receipting petty cash and balancing cash/check/credit card session daily.
    2. Remove holds when requirements have been met.
    3. Review financial aid documents for accuracy and completeness. 
    4. Educate students and public regarding financial processing timelines (i.e. financial aid applications, appeal forms, change in aid requests, extension of federal financial aid requests, payment plans, petition for refunds, scholarships, emergency loans and refund deadlines).

 

GENERAL JOB FUNCTIONS:

  • Establish and maintain effective working relationships with students, staff, other agencies, and the general public.
  • Perform other duties as assigned within the scope of the classification. 
  • Participate in college committees when requested.
  • Maintain technological proficiency by attending training and meetings, reading materials, and meeting with others in areas of responsibility, which may require travel.
  • Maintain work areas in a clean and orderly manner.
  • Maintain student confidentiality, data integrity, and comply with all related college, state, and federal standards, including the Family Educational Rights and Privacy Act (FERPA).

REQUIRED QUALIFICATIONS

  • Associates Degree supplemented by additional specialized training and at least one year of related experience.
    • Any equivalent combination of education and experience which provide the knowledge, skills, and abilities required to perform the duties as described.
  • Knowledge of community colleges, their admission, registration and financial aid processes. 
  • Ability to establish and maintain an effective working relationship with students, staff, other agencies, and the general public.
  • Manage time effectively; read and interpret policies, regulations and laws as they relate to this job.
  • Communicate effectively, both orally and in writing, with individuals and groups. 
  • Provide calm, courteous, accurate and professional service in fast-paced environment with multiple interruptions. 
  • Maintain a high degree of discretion when dealing with confidential information, including financial data of students. 
  • Physical ability to perform the essential job functions.
  • Ability to exemplify traits that reflect the College’s culture, including integrity, a customer service orientation, cultural competency, trustworthiness, flexibility and a willingness to change.
DESIRED QUALIFICATIONS
  • Bilingual (English-Spanish)

Terms of Employment

  • All positions at CCC are required to be available for work onsite as requested by the college and requires a flexible work schedule to meet program needs, which may include evenings and/or weekends.

  • CCC employees must reside within 50 miles of Oregon City, Harmony or Wilsonville campus as a condition of employment.
