Job Summary
The Assistant Director of Finance supports the financial leadership and day-to-day operations of the Finance Department across Avalon Palm Springs and Ingleside Estate. This role ensures accuracy in financial reporting, compliance with internal controls, and seamless coordination with departmental leaders. The Assistant Director is a hands-on partner who supports budgeting, forecasting, and month-end close processes while helping to maintain a culture of excellence, accountability, and service.

Key Responsibilities

Financial Operations & Reporting

  • Assist with the preparation of monthly financial statements and supporting schedules in compliance with brand and ownership requirements.

  • Support the month-end close process, ensuring timely and accurate reporting of all financial information.

  • Reconcile balance sheet accounts and review general ledger entries for accuracy and compliance.

  • Monitor daily revenue postings and resolve any discrepancies with operating departments.

Budgeting, Forecasting & Planning

  • Collaborate with the Director of Finance in the preparation of annual budgets and rolling forecasts.

  • Analyze variances between actuals and budget/forecast, providing actionable insights to department heads.

  • Support strategic planning initiatives through data-driven financial analysis and modeling.

Internal Controls & Compliance

  • Uphold proper internal controls over cash handling, purchasing, payroll, and other financial processes.

  • Assist with audits by preparing documentation and responding to external and internal audit inquiries.

  • Ensure compliance with all local, state, and federal financial regulations, including tax reporting and labor standards.

Team & Departmental Support

  • Provide oversight and training for finance team members in accounts payable, accounts receivable, payroll, and income audit functions.

  • Serve as a finance liaison to department managers, offering guidance and tools to help them understand and manage their budgets.

  • Champion a culture of hospitality, accountability, and operational excellence.

Qualifications & Experience

  • Bachelor’s degree in Accounting, Finance, or related field required; CPA or MBA preferred.

  • 3+ years of progressive finance experience in the hospitality industry, with at least 1 year in a supervisory role.

  • Proficiency in financial software (e.g., ProfitSword, HMS, Craftable or similar) and strong Excel skills.

  • Knowledge of Uniform System of Accounts for the Lodging Industry (USALI) strongly preferred.

  • Strong organizational, analytical, and interpersonal skills, with the ability to work under pressure and meet deadlines.

Working Conditions & Expectations

  • Full-time position requiring flexibility to work weekends, holidays, and extended hours during critical periods (e.g., month-end close, budget season).

  • Must maintain confidentiality of financial and personnel data.

  • This position requires the ability to sit or stand for long periods and occasionally lift up to 25 lbs.
