About the Department

To establish a list of eligible candidates that will be used to fill full and part-time, permanent and substitute assignments, for the duration of the list, up to one year. The anticipated vacancy is an 11-month, full-time (8 hours/day) position located at one of our elementary schools in Simi Valley, California.

TESTING PROCESS:
A) Multiple Choice Test= 40% weighting on final score
Tentatively scheduled for November 3, 2025
B) Structured Interview= 60% weighting on final score
Tentatively scheduled for as early as the week of November 10, 2025

Applicants must meet the minimum qualifications stated in the job posting by the application deadline in order to move forward in the testing process. Those candidates who meet the minimum qualifications will be invited to the multiple choice test. Those with the highest scores on the multiple choice test will be invited to the structured interview.  The testing process is subject to change as needs dictate. DEFINITION
Performs and is responsible for a wide variety of secretarial and clerical duties to manage school office activities; provides secretarial services to and assists the principal with administrative details; performs health, communications, and public relations services as needed;  assigns and oversees the work of clerical assistants.

DISTINGUISHING CHARACTERISTICS 

School Office Managers report to an elementary school principal.  In addition to providing secretarial support to the principal, incumbents are responsible for school office activities and directing staff performing these duties.  Incumbents must be familiar with a variety of policies and regulations pertaining to school activities as well as accounting, payroll, purchasing, building services, and health services and regulations. Incumbents perform a wide variety of tasks simultaneously and maintain a smooth and efficient office environment.  Incumbents provide information to and assist a wide variety of people including students, parents, faculty, classified staff, health care workers, and emergency and safety personnel.


SUPERVISION 
Receives direction from principal or assistant principal.   Assigns and monitors work of clerical staff. Coordinates work assignments of classified personnel to ensure the smooth and efficient operation of the school.

Position Duties

  • Manages the front office of the school; greets visitors and receives telephone calls; provides information regarding school policies, procedures, actions, activities, programs, and schedules; requests necessary information and transmits messages as appropriate.
  • Coordinates communication between the principal’s office and faculty, students, parents, and outside organizations; sets up meetings; prepares agendas; takes and transcribes minutes; prepares newsletters, information packets, and approval forms; may prepare and maintain information on school’s website.
  • Maintains a variety of payroll records; prepares and processes documents for a variety of absences, jury duty, and substitutes; maintains attendance records; prepares monthly payroll information and forwards to the District’s payroll office.
  • Arranges for or assists in arranging for substitutes to fill certificated and classified personnel absences; provides orientation for substitutes; may arrange for qualified substitutes for buses.
  • Maintains accounts payable, receivable, and other bookkeeping records; transfers and deposits monies; collects and accounts for monies gathered in conjunction with school activities; prepares reports and forwards to District.
  • Orders materials, supplies, and equipment; maintains records of purchase orders, invoices, and accounts; maintains inventories; distributes and collects confidential testing materials; assists principal with school budget preparation and monitoring.
  • Performs various enrollment and registration activities; prepares registration packets; inputs new student data into appropriate computer system; reviews student records for compliance with related laws and regulations; maintains and reconciles monthly enrollment reports.
  • Maintains accurate records and files concerning student and parent information; prepares and maintains student  cum  files; processes student suspensions; prepares and maintains a variety of confidential  records pertaining to students and school staff. 
  • Prepares and maintains a variety of records and reports related to field trips, travel, volunteers, school improvement plans, library accounts, keys, work orders, student study teams, facilities use, and other required records as needed. 
  • Administers basic first aid to students as necessary; determines whether to call professional medical assistance or parents; maintains student health records; administers medications according to approved guidelines; coordinates vision and hearing testing; prepares student accident reports.
  • Supervises students sent to the office.
  • Trains, assigns and reviews the work of clerical assistants; ensures work is complete and accurate; provides input regarding clerical staff’s work performance for evaluations. 
  • Types from rough draft or verbal instructions a variety of documents such as letters, memoranda, bulletins, and related correspondence and reports.
  • Operates and maintains a variety of office equipment; maintains maintenance and repair information; identifies problems and attempts to resolve prior to requesting assistance; may set up new staff on school’s and district’s intranet/internet.
  • Coordinates emergency disaster plans and drills, contacts emergency personnel, prepares and enters crime reports.
  • Sorts and distributes mail; copies and distributes information concerning new policies, procedures, training opportunities and related information as directed by the principal.
  • Coordinates and resolves issues and concerns in the absence of the principal.
  • Performs related duties as assigned.

Minimum Qualifications

EDUCATION AND EXPERIENCE
A high school diploma or equivalent AND four years of progressive clerical or administrative support experience or higher, preferably in an educational environment. 
 OR
 An associate degree with coursework in business administration, communications, a behavioral science, or a related field AND two years of progressive clerical or administrative support experience or higher, preferably in an educational environment. 
 OR
 A bachelor degree with course work in business administration, communications, a behavioral science, or a related field AND one year of progressive clerical or administrative support experience or higher, preferably in an educational environment.
 
 First Aid and CPR certifications are required.

Work is performed in an indoor environment where minimal safety considerations exist.
