STUDENT ASSISTANT EMPLOYEE JOB DESCRIPTION

 

JOB DESCRIPTION:

Under the supervision of the Membership Services and SRC Administration Supervisor, with multiple assignments from various SRC department managers, the Student Administrative Support Assistant II is responsible for providing general office assistance in support of Student Recreation Center (SRC) Administration and its personnel.  Performs routine and non-routine tasks requiring considerable on-the-job training.

 

JOB DUTIES:

·         Performs general office duties including but not limited to greeting visitors, answering phones, developing and maintaining office systems, tracking information and data, typing correspondence, photocopying, scanning, faxing, filing, and other related tasks.

·         Updates and maintains department budget using Microsoft Excel

·         Serve as liaison to the USU Strategic Marketing & Communications Department by regularly checking and responding to marketing communications

·         Assist SRC staff with posting on all social media platforms for the SRC, Oasis Wellness Center, and Games Room

·         Tracks expenses by preparing and processing cash disbursements, AMEX orders, purchase orders, contracts, and invoices

·         Reconciles budget on a monthly basis and prepares quarterly budget reports

·         Stays abreast of information regarding SRC, USU, and University programs and services

·         Coordinates and assists in various trainings and meetings for the SRC advisory group

·         Handles customer-initiated requests for information

·         Ordering, logging, receiving, and storing office supplies

·         Working with established computer programs

·         Entering data, producing, and mailing reports

·         Archiving office documents

·         Maintaining and processing documents

·         Organizing back up documentation for purchases

·         Must attend required SRC and USU employee orientation and trainings, as well as, department specific trainings and meetings

·         Performs other related duties as assigned

 

QUALIFICATIONS:

EDUCATION

·         Must be a currently enrolled CSUN student

 

EXPERIENCE AND CERTIFICATIONS:

·         Previous experience and/or specialized education required

·         American Red Cross or department approved First Aid, CPR, and AED certification shall be obtained within 30 days. Training is periodically offered free of charge by the USU. Applicants unable to attend USU-sponsored training are required to obtain certification at their own expense

•    This position is a sensitive position as designated by the CSU. ·         Must be self-motivated, and possess a strong initiative

·         Proficient in verbal and written communication, including effective sharing of relevant information, asking questions, listening, responding appropriately, and composing well-structured written content.

·         Excellent attention to detail, including demonstrated ability to accurately perform data entry tasks.

·         Excellent computer skills required, including proficiency in Word, Excel, PowerPoint, and Intranet.

·         Ability to independently manage multiple tasks simultaneously without close supervision and adhere to all deadlines.

·         Willingness to work in a diverse environment, maintaining a professional demeanor and appearance, adhering to work rules, following directions, using time effectively, and working productively.

·         Excellent customer service skills required.

SUPERVISION:

Supervision is provided by the Membership Services and SRC Administration Supervisor

 

TYPICAL WORKING CONDITIONS:

Work is primarily performed in a temperature-controlled office environment. Daily contact with members of the campus community, including students, faculty, staff, administrators and guests, is required. In addition to regularly assigned work schedule, must possess an ability and willingness to work weekends, evenings, holidays, finals weeks, and during academic interim and break periods; must be flexible, adaptable, and readily able to adjust to changes in work environment.
