Position Summary
The Payroll Coordinator will support the Director of Payroll on running multiple payrolls, ensuring pay is processed on time, accurately, and in compliance with government regulations. In addition, they will be a key member in implementing and managing ADP Payroll processes and serve as a strategic partner in developing progressive payroll solutions.
Essential Duties & Responsibilities
- Prepares and maintains accurate records and reports of payroll transactions; Maintain payroll guidelines by writing and updating policies and procedures
- Balances the payroll accounts by resolving payroll discrepancies
- Process off cycle and manual checks when needed
- Conduct regular audits of payroll data to ensure accuracy and consistency across systems.
- Facilitates audits by providing records and documentation to auditors
- Assist in identifying inefficiencies in payroll workflows and recommend automation or process enhancements.
- Update and reconcile statements from ADP
- Document and maintain standard operating procedures (SOPs) for payroll processes
- Maintains employee confidence and protects payroll operations by keeping information confidential
- Performs other duties as assigned
Qualifications & Experience
- Minimum of 3 years of experience managing payroll and related administrative duties
- Base knowledge of applicable Federal and State HR/Payroll Laws (FMLA, FLSA, etc.) and IRS regulations that impact payroll
- Skilled in the use of payroll systems and databases and willingness to experiment and work with new technologies
- Must possess excellent written and organizational skills and be extremely flexible to meet customer deadlines, in addition to being able to work independently and prioritize multiple tasks in a changing environment with a high degree of accuracy
- Excellent processing skills and attention to detail
- Must be detail oriented and comfortable working in a fast-paced and rapidly changing environment
- Strong math and analytical skills
- Strong Verbal Skills to liase with cross-functional teams and explain payroll concepts to non-payroll staff
- Self-motivated, independent, cooperative, flexible, creative, and responsible
- Ability and experience working as a member of a team
- Prior experience with multi-state locations, including California, is a plus
- Quarterly and annual payroll tax reporting and reconciliation
- Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes
- A collaborative and flexible style, with a strong service mentality. Needs to be seen as a team player who is committed to lifelong learning
