SUMMARY OF POSITION:
The Administrative Assistant works directly with the Director of Financial Aid to provide administrative support to the Office of Financial Aid staff. Must be able to communicate well with students, faculty, staff and outside agencies. Must be able to organize, control and follow through on major projects. Must have excellent computer skills. Must have skills in telephone usage and the ability to research, analyze and interpret data.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Serve as a representative of the Financial Aid Office and Wofford College to prospective students and their families, currently enrolled students and their families, faculty and staff at Wofford, and the general public.
Schedule appointments for financial aid office staff members and maintain the individual calendars of each staff member. Ensures holidays and individual staff absences for training, vacation, illness, etc., are updated on all staff calendars.
Assist financial aid office staff on projects as needed.
Daily distribution of financial aid office mail to appropriate staff.
Respond to requests for general information or direct inquiries to the appropriate personnel within the Enrollment Management Area (Offices of Financial Aid, Admission, and Retention).
Responsible for general knowledge about financial aid office processes, federal and state processes, location of and ability to give instructions on completing federal, state and institutional forms and general knowledge about financial aid sources.
Responsible for general information on admission office processing and scholarship selection processes, helping students locate forms, and referral of specific questions to appropriate admission staff.
Maintain Financial Aid email inbox responses for general information to students and parents or directs inquiries to appropriate personnel in the financial aid office.
Manage electronic student filing system.
Perform email merges for routine communications to students and parents.
General knowledge of Family Educational Rights and Privacy Act (FERPA) rules and regulations as they relate to providing information to students and/or parents.
Coordinate routine orders and inventory of office supplies for the financial aid office.
Point of contact for office equipment.
Other duties as assigned including general business office duties during absences by other staff.
Process reports for Accounts Payable for goods/services billed to Financial Aid.
Report maintenance needs using appropriate resources.
JOB SPECIFICATIONS:
Bachelor’s degree preferred
Excellent customer service and telephone skills required.
Computer proficiency required.
Prior work experience in college financial aid office setting required.
Must have good attention to detail.
Ability to work flexible hours, as needed.
Ability to work in a cooperative team spirit.
Willingness to travel for professional development opportunities.
Openness to work with all Wofford administrative and academic departments.
Ability to perform multiple tasks.
Excellent written and oral communication skills required.
Ability to exercise good judgment and handle confidential information in a discrete and professional manner.

Strong organizational skills, including ability to prioritize a variety of tasks.
Familiarity with integrated management systems.

This is a full-time position with a normal work schedule of 8:30 am to 5:00 pm, Monday through Friday.
