The Events Division of the Oregon Zoo is looking for Seasonal Events Operation Lead to assist with lead work in implementing public and private events with a focus on installation, operation, and teardown of ZooLights.
As the Seasonal Event Operation Lead you will
- Schedule and prioritize duties and responsibilities; ensure coverage for breaks and absences. Monitor and report hours worked, including tracking absences and payroll approval.
- Provide training and direction on work assignments, procedures, and equipment quality/safety standards; tracks and keeps records of training.
- Assist with monitoring assignments to ensure completeness and quality; provides corrective guidance as needed. Communicate performance issues to supervisor.
- In collaboration with the supervisor, facilitate requests for events assistance, which may include set-up and takedown for private and public events.
- Inspect and ensure all equipment, tools and supplies are cleaned, in working order, and returned to designated areas and prepared for next use. Ensure proper disposal of chemicals, equipment, and packaging. Respond to facility and equipment problems and safety issues; arrange for repairs. Reports on major issues to supervisor.
- Assemble information and/or documentation and respond to email and voicemail. Responsible for upkeep of procedure manuals; makes suggestions for process improvements.
- Perform basic computer skills
- Coordinate the ordering and purchasing of materials, supplies and equipment, including surplus and proper storage.
- Set up and disassemble canopies, chairs, tables, speakers, and related equipment for events
- Hang banners, backdrops, props, and associated equipment
- Assist performers, private event clients, presenters, staff, and members of the public with events as needed.
- Provide general customer service, such as providing directions and answering questions, and open and close locations in adherence with security procedures.
- Clean and performs simple maintenance tasks
- Operate ladders, forklifts, aerial lifts, golf carts, and other equipment as required.
- Safely install and uninstall seasonal and decorative lighting on zoo buildings, trees, and grounds.
- Utilize various hand and power tools in the assembly, disassembly, and general maintenance of displays and setups.
- Locate, report, and troubleshoot power issues related to lighting or lit décor
- Perform basic ZooLights repairs, which includes clipping zip ties to remove older light strings/rope, attaching new light strings/rope to frames with zip ties and attaching premade splices or other connectors.
- Alert staff to any problems that may need attention
- May participate in the recruitment and hiring process, including screening and interviews; provides input to management on hiring decisions.
- Ensure compliance with applicable laws, Metro policies and procedures, and collective bargaining agreements as appropriate.
- Perform assigned duties during an emergency.
- Perform other duties as assigned.
Attributes for success
- Strong foundational knowledge of event planning and the technical and practical aspects of event design, set-up, breakdown, and coordination.
- Aptitude to skillfully use the tools associated with event design and production.
- Ability to interact effectively with people.
- Capability to train and lead staff and coordinate project teams.
- Experience operating heavy equipment such as forklift, scissor lift, boom lift and telehandler.
- Knowledge of routine building and grounds maintenance, methods, and practices
- Knowledge of installing electrical cables and experience operating a variety of tools, including ladders and some machinery
- Understand and follow oral and written instructions
- Use discretion with confidential and sensitive matters
- Lead, train, and give instruction
- Detail-oriented with the ability to be flexible, manage multiple tasks and shifting priorities, work under pressure and meet deadlines
- Build and maintain collaborative working relationships
- Standard lighting install practices, procedures, and techniques

- Work assigned schedule and exhibit regular and predictable attendance

- Must be able to climb, balance, kneel, crouch and crawl and stand consistently for long periods of time
- Lift and carry up to 50 lbs. without assistance; occasionally up to 100 lbs. with a two- person lift
- Must be able to work outdoors in various temperatures including heat, cold, rain, snow and wind
- Must be able to work days, evenings, weekends and holidays as needed.

TO QUALIFY

Minimum qualifications
- Five years of events experience, including two years of experience leading and directing employees or similar higher-level responsibilities, such as organization, record keeping, facilitating projects and overseeing employees
- Valid driver’s license and the ability to be insured by Metro’s insurance carrier
- Any combination of education and experience that provides the necessary knowledge, skills, and abilities to perform the classification duties and responsibilities

Like to have qualifications

- Previous experience working in a union environment.
- Previous experience operating vehicles, forklifts, high lifts, person lift baskets, cleaning and other medium and light duty equipment and hand tools
- 3-5 years of related experience coordinating and implementing events.
- 1-2 years of experience leading and directing employees or similar higher-level responsibilities
