Representative
Position Summary
The Human Resources Representative entails providing a comprehensive administrative support to
day-to-day operations of human resources ensuring the efficient delivery processes, and the accuracy
of employee data records. HR Representative liaises closely with Human Resources, Payroll,
Accounting and other departments throughout the organization providing a customer-focused and
effective HR support service to the organization to achieve the organization’s goals and objectives.
Major Responsibilities
Administrative
Providing general administrative support such as preparing correspondence, forms and
reports, arranging meetings, composing regular correspondence, processing confidential
reports and documents, filing electronic and hard copy, tracking deadlines, answering the
office telephones, and distributing fax correspondence to appropriate staff.
Responding to and putting through various queries from managers and employees, and from
other agencies or departments.
Update Turnover report, New Hire report and Termination report, have Director review.
Preparing source documentation needed for new hires, terms, and changes in pay or status.
Establishing and maintaining personnel records, files, correspondence, and reports, and
organization charts.
Maintaining employee file records up-to-date by handling changes in employee status in a
timely manner.
Send out New Hire Orientation reminders to managers and presenters.
Processing employment verifications, answering phones, and faxing.
Providing staff support to New Hire Orientation, such as preparing packets, calling
employees to attend New Hire Orientation, and setting up the room for the day of orientation.
Preparing Licensure and Certification Reports, tracking on licensure and updating files.
Prepare Employee of the Month paperwork and gather nominations.
Scheduling employees for required classes, notifying appropriate directors, copying cards
after classes are taken and placing them in employee files.
Process and monitor suspensions related to certifications and licensures. Send out
suspension letters.
Preparing monthly TB and FIT Testing reports.
Preparing Employee Health reports for Performance Improvement Committee.
Prepare and process PAR’s for signature to change their status in payroll.
Serves as a liaison for Payroll, deliver all PARS, direct deposits, checks and other related
documents to the Payroll department.
Coordinates certification training with vendors, create calendar, flyers, and serves as point of
contact for training.
Complete filing for all personnel files.
Prepare Birthday bash setup (catering requests, check requests, and raffle award).
Preparing evaluation reports; review of performance evaluations and preparation for
signatures. Tracking on evaluations as they move through the process. Processing employment verifications.
Responding to subpoenas.
Disassembling files of terminated employees and placing them in the proper location.
Have a clear understanding of hospital policies.
Providing support for office supplies and inventory.
