Job Summary:

We are looking for an Administrative Assistant for the HRS team in the Centennial, CO office.

 

Job Responsibilities:

  • Answer and direct incoming calls, emails, and web inquiries in a timely and professional manner, including after-hours support if necessary.
  • Manage the main phone line, screen and forward calls, and forward voicemails to appropriate team members daily.
  • Provide clear communication and reassurance to customers during emergencies, explaining the restoration process and setting expectations.
  • Collect and accurately record essential customer and job details (e.g., type of emergency, location, insurance, contact info) in the CRM system.
  • Assessing urgency and quality leads based on service area and capabilities, routing them to dispatch or project managers.
  • Dispatch emergency response information to appropriate department leads (Emergency Services, Abatement, Roofing, Repair).
  • Confirm appointments and arrival times with customers; maintain daily call logs and lead reports.
  • Track and report lead conversion metrics and assist with improving lead handling processes.
  • Maintain and update lead logs, contracts, job folders, and WIP data in PSA and shared drives.
  • Submit and track subcontractor agreements, vendor documentation (COI, W9), and forward to appropriate contacts.
  • Assist with new vendor and subcontractor setup, including email communications and requirements tracking.
  • Maintain and distribute the monthly/bi-monthly on-call schedule.
  • Order and manage office inventory, supplies, and marketing materials with necessary approvals.
  • Coordinate distribution of employee uniforms, business cards, and support apparel program.
  • Organize company events and order staff lunches as requested.
  • Support internal meetings, schedules, calendars, and appointments.
  • Order show items and provide payment info for technician phone sales when needed.
  • Maintain vendor, subcontractor, and client relationships.

 

Job Qualifications:

  • Bachelor’s degree in business administration or related degree.
  • Three years minimum as an Administrative Assistant/ or Coordinator for a Restoration company.
  • Attention to detail and strong customer service skills.
  • Ability to provide compassionate and supportive responses while dealing with homeowners.
  • Proven ability to multi-task in fast-paced office environment.
  • Strong written and verbal communication skills.
  • Experience in a “high volume calls” environment.
  • Familiarity with emergency response protocols.

     

     Pay: The pay range for this position is $24.00 - $28.00 per hour. The pay is to be determined by education, experience, knowledge, skills, abilities, and location where job is performed.
