Accounts Receivable, Coordinator

Position Summary

The Accounts Receivable Coordinator supports the establishment and maintenance of formalized accounts receivable, revenue tracking, and reporting processes across all business entities (MLBPA, MLBPI, Trust, Blocker 1, and Players Way). This role ensures accurate and timely revenue recording, provides essential financial reporting, and maintains organized documentation to support audits, compliance, and cross-departmental collaboration. The Revenue Coordinator will work closely with internal departments and external partners to ensure smooth, efficient, and accurate revenue operations.

Key Responsibilities

  • Accounts Receivable Transaction Processing
    1. Prepare and issue invoices, ensuring accuracy and alignment with contractual terms
    2. Track and monitor collections; follow up with partners to ensure timely payments
    3. Process daily cash postings, create electronic cash receipts, and compile daily wire backup files
    4. Prepare and reconcile deposits; maintain accurate records in accounting systems
    5. Research and resolve unapplied payments, returned checks, and payment discrepancies
    6. Audit ledgers and accounts receivable systems to ensure partner profiles are accurate
    7. Address special billing situations and resolve discrepancies in coordination with stakeholders
    8. Support liaison efforts to external partner finance departments regarding invoice and billing-related matters
    9.    Maintain accurate and up-to-date accounts receivable files, both electronic and physical

 

  • Financial Analysis & Reporting
  • Maintain and update revenue tracking systems for licensing royalties, sponsorships, donations, tickets, and other active revenue categories
  • Assist in the preparation of monthly revenue reports, cash forecasts, and variance analyses
  • Collect, track, and reconcile deposits from multiple revenue sources (e.g., agent fees, fines, club and player dues, prepaid tickets, refunds)
  • Support the identification and implementation of automation and system enhancements for revenue processing and reporting
  • Assist with the development of KPIs and OKRs related to revenue performance
  • Develop and maintain relevant financial dashboards
  • Maintain organized, accurate documentation to support annual audits and tax filings
  • Assist in preparing materials for annual forecasts, budgets, and Board reporting packages
  • Support compliance-related reporting (e.g., 1099, LM22, LM-30)

  • Maintain drafts of internal controls and standard operating procedures for accounts receivable processes
  • Ensure compliance with company policies, Department of Labor requirements, and other applicable regulations
  • Identify and report any discrepancies, irregularities, or potential process improvements 
  • Partner with department leads, vendors, and internal stakeholders to resolve accounts receivable issues
  • Participate in special projects assigned, including process improvement and technology initiatives

 

Qualifications

Education & Experience

  • Associates/Bachelor’s degree in finance, accounting, business, or a related field
  • 3+ years of experience in accounts receivable, revenue management, or similar finance role

Technical Skills

  • Proficiency in ERP accounting systems (Intaact preferred) and accounts receivable management tools 
  • Proficiency in basic accounting knowledge including understanding of debits, credits, accruals, and the general ledger
  • Advanced Excel skills (basic formulas, lookups, reconciliation formula checks, data entry accuracy)
  • Advanced knowledge of invoice creation, payment posting, credit memos, refunds, and reconciliations
  • Strong attention to detail, organization, and follow-through
  • Familiarity with Department of Labor regulations related to financial reporting (preferred)

 

Soft Skills

  • Strong communication skills, both written and verbal, and ability to interact with all levels of management and external parties
  • Ability to handle projects with multiple workstreams and multiple stakeholders
  • Highly organized with exceptional attention to detail and accuracy
  • Able to prioritize, multi-task, and meet deadlines consistently

Additional Qualifications

  • Bilingual (English/Spanish) (a plus)

Location: New York, NY (Hybrid Work Model)

Salary: $75,000 to $85,000

Job Type: Full-Time, Exempt
