We are seeking a multi-talented Venue Advancement Supervisor to join our Event Operations team. You thrive on coordinating details, collaborating cross-functionally, and managing multiple priorities in a people-centric, fast-paced environment. Position Overview
This role requires a professional with strong event production knowledge, organizational skills, interpersonal ability, and creativity. The Venue Advancement Supervisor oversees venue advancement, contract review, and communication between venues, vendors, and production staff. The position ensures venues are properly advanced and coordinated, documentation is accurate, and processes are streamlined to deliver outstanding experiences.
Key Responsibilities
- Oversee venue advancement, team coordination, contract review, and overall venue management once contracts are signed.
- Handle venue event details, COI submission, and coordinate with Production Department on outside vendors.
- Manage Core Process documentation and system implementation for venue operations.
- Review final venue invoices to ensure billing accuracy.
Key Qualifications & Competencies
- Minimum of 3 years’ experience in theater, entertainment production, or event planning.
- Bachelor’s degree in Theatre, Performing Arts, Production, Hospitality, Communications, Business, or related field.
- Ability to work on multiple projects concurrently and communicate confidently with multiple venues at once.
- Technical theater, broadcasting, touring, and/or film/TV experience related to lighting, sound, scheduling, production, and logistics.
- In-depth knowledge of Microsoft Windows OS & MS Office Suite with strong Excel skills.
- Expert communication skills, both written and verbal, to clearly express details, rules, and concepts concisely.
- Strong self-management and accountability.
- Process-oriented with high accuracy and attention to detail.
- Exceptional time management, organizational, and analytical skills under stressful or uncertain environments.
- Ability to work long hours while maintaining a positive demeanor in a dynamic environment.
- Valid US Driver’s License and willingness to drive rental vehicles in any scheduled city.
Work Environment & Physical Demands
This position requires travel to approximately 4-6 regional events annually, each lasting 3–5 days, with 1–2 national events lasting 6–8 days. The position includes physical activity such as lifting up to 50 pounds, setting up equipment, and working in varied environments, including venues, hotels, and stages. Team members must also be comfortable sharing hotel accommodations with same-gender colleagues during event assignments.
Mock Training: All new/first year event staff are required to attend an audition and training session in Eagle, Idaho (Typically hosted January 5–9). Spotlight provides flights, transport, lodging, and meals. Travel may occur one day before or after the scheduled dates.
