Position Summary:
The Retired Partners Legal Assistant will perform a variety of administrative duties for retired partners according to established policies and procedures. The Retired Partners Legal Assistant is assigned to assist the retired partners who retain an office at the firm. This position will be responsible for assisting the retired partners with document preparation, ensuring their firm mail is delivered to them on a consistent basis, and with other needs they may have. This position is also utilized as the backup receptionist to cover when the receptionist is away from their desk for an extended period or out of the office. Other duties will include the responsibility of receiving and distributing all the mail which is not directed to a specific attorney in the firm (called “research” mail); learning the receptionist duties; answering the firm phone; assisting Document Services Centr with tasks when time permits, and completing other tasks as assigned in a timely and accurate manner.
Essential Functions:
- Prepare work as requested by retired partners, delegate work to appropriate departments as needed due to workload, and assist with answering firm phones.
- Review, sort, and research Firm mail (mail not addressed to a specific attorney or addressed to an attorney no longer with the firm) and forward to the appropriate person/place.
- Learning the duties of the front desk to cover for the receptionist during extended breaks, lunches, as well as time out of the office.
- Assist Document Services Center with overflow work when time is available.
- Sort retiree mail received daily and forward any incoming mail for retirees not in the office on a weekly basis.
- Perform other duties and tasks as assigned.
Knowledge, Skills and Abilities Required:
- Excellent spelling and proofreading skills
- Intermediate Microsoft Word skills
- Typing (40+ wpm)
- Strong customer service skills
- Ability to organize, prioritize and produce quality work
- Ability to effectively multi-task
- Excellent interpersonal communication skills, both verbal and written
- Self-motivated and adaptable and flexible to complete assignments in a timely manner
- Strong team-working abilities
Knowledge, Skills and Abilities Desired:
- MS Excel
- Intapp Flow
- iManage 10 / FileSite
- Chrome River
- PDF conversions and manipulations
Education and Experience:
- High school diploma or equivalent required.
- 3 - 5 years of experience in similar field required.
- Previous experience with Vorys’ retired partners is preferred.
