About the Department
Perform a variety of complex clerical administrative tasks to support the Director and Board of Elections’ office to ensure efficient operations of the Board of Elections systems and department’s operations.
Position Duties
- Routinely greets visitors, answers the office phone, receives inquiries, relays messages, collects and provides information based on the type of request; takes notes; and refers non-routine calls to appropriate personnel to respond to requests.
- Conducts research and provides information to the public, governmental offices, elected officials, media, candidates, and political party representatives.
- Data Entry using the State Board of Elections software, Microsoft Suite, and other databases.
- Organizes files, operates a computer, copier, fax, postage meter, mailings, and emails, creates records, schedules appointments, and maintains a daily calendar of duties.
- Assists with Accounts Payable functions including reviewing purchase orders and processing vendor invoices.
- Types correspondences such as Board minutes, letters, reports, and other materials.
- Maintains the Board of Election’s social media platforms.
- Assists Elections Director in the preparation and use of election setup, ballot preparation, and election tabulation hardware and software and preparation of reports generated by these systems.
- Inspect and prepare supplies for each polling location before each election.
- Assists with testing of voting equipment.
- Auditing of election returns and voter history reconciliation.
- Assists with administration of voter registration and other election processes.
- Employee must adhere to all security practices including state and county directives/guidance concerning physical security, cybersecurity, and access to office records in any format.
- Apply independent judgment and interpret routine policies and regulations.
- Exercise tact and courtesy in frequent contact with the general public.
- Work is performed in accordance with federal, state, county, and municipal election laws, policies and procedures.
- Performs related duties as required.
Minimum Qualifications
Knowledge, Skills, and Abilities
General knowledge of standard office practices, practices, procedures, equipment, and office assistance techniques; general knowledge of business English, spelling, and arithmetic; general knowledge of County and departmental programs and policies and terminology; ability to read and understand moderately detailed policies, procedures and job-related materials; ability to follow oral and written directions; ability to establish and maintain effective working relationships with associates and the general public.
Education and Experience
Any combination of education and experience equivalent to graduation from high school and a minimum of 3 years office assistance experience including public contact work.
Physical Requirements
This work is sedentary requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; work regularly requires balancing, stooping, kneeling, crouching,crawling, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, feeling and repetative motions; vocal communication is required for expressing or exchaniging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and to make fine distinctions in sound; visual acuity is required for depth perception, color perception, night vision, peripheral vision, preparing and analyzing written or computer data, visual inspection involving small defects or small parts, use of measuring devices, operation of machines, operation of motor vehicles, determining the accuracy, neatness and thoroughness of work, and observing general surroundings; the worker is subject to inside and outside environmental conditions.
