Role Overview:

The Prevention Coordinator provides leadership and information to Healthy Families Indiana providers, Community Partners for Child Safety providers, Prevention database and evaluation vendors, and external members of the community.  You will also work with the Quality Assurance department, Technical Assistance department, and Traing Department and vendors.

 

This role requires strong business conuslting skills.  You will engage in business systems, technical discussions, and reporting derived from software systems while considering business implications of software updagrades and changes.  You will interact with out software vendor, This role interacts with our software vendor (Brite Systems), Community Partners for Child Safety, and Health First Indiana program managers. You will also to assist in assessing and tracking system development work from initiation to implementation.  You will also have frequent interactions with the Prevention data system vendor, DCS fiscal divisions, and DCS Legal Department.

 

This role includes travel to provider sites, training programs, and committee meetings.

 

Salary

The salary for this position traditionally starts at $61,022 but may be commensurate with education or work experience.

A Day in the Life:

Responsbilities include:

  • Enhance the capacity of communities to provide quality prevention services.
  • Facilitate the expansion and improvement of existing Prevention services.
  • Enhance local resources for each of the 92 counties and improve the capacity for families to access services in their communities.
  • Create complex Excel spreadsheets for tracking programmatic and vendor expenditures.
  • Receive, review, process, and track all Prevention vendor invoices.
  • Monitor vendor spending to ensure proper utilization of state and federal funding.
  • Maintain records for prevention programs.
  • Establish and document procedures for invoicing.
  • Work closely with the DCS Fiscal Department regarding contracts, budgets, and accounts payable.
  • Work closely with the Fraud Investigation Department to ensure compliance with federal, state, and DCS policies.
  • Work closely with the DCS Legal Department as needed for legal guidance.
  • Maintain contact information for program contracts.
  • Create contract request forms for new contracts and amendments.
  • Draft special procurement documents for Indiana Department of Administration review and approval.
  • Complete random sampling of claims for TANF auditing.
  • Collaborate with community agencies, associations, organizations, and key stakeholders for local prevention systems.
  • Coordinate the quality assurance, training, and technical assistance contracts to ensure local and region training, technical assistance, and services are completed according to agreed outcomes.
  • Ensure consistent, timely, and accurate information to local communities as they implement federal and state regulations for the prevention system.
  • Assist the Prevention Manager with general administrative duties and supervision.
  • Ensure that all 92 Indiana counties comply with federal, state, and agency regulations.
  • Advise committees and work groups engaged in prevention systems.
  • Promote program criteria at special conferences and meetings.
  • Remain current on legislative changes impacting the department.

This position is exempt from overtime compensation for additional work hours that may be required to complete essential functions or other assigned work. Exempt employees may work more than 75 hours in a pay period without additional compensation and must report a minimum of 75 hours per pay period of work hours and/or paid leave taken to receive their base biweekly salary.

What You'll Need for Success:

Credentials:

  • a Bachelor’s Degree and 1 year of experience, or 
  • an Associate’s degree with 2+ years of experience, or 
  • at least 3+ years of experience applying the below, outlined knowledge, skills, and abilities in a similar role.
  • Related certifications and coursework may be considered for education or experience.

 

Required qualifications:

  • Valid driver's license.
  • Willingness to travel.

 

Additional qualifications:

  • Experience with the Healthy Families Indiana or Community Partners for Child Safety preferred. 
  • Thorough knowledge of federal, state and local legislation, policies rules and regulations related to child welfare/child development programs.
  • Thorough knowledge of fiscal and contracting systems, policies and procedures.
  • Broad knowledge of established social work principles, theories and methodologies, including social psychology and family relations.
  • Broad knowledge of the DCS organization and operation of county, state, and federal government.
  • Thorough knowledge of diverse cultural/ethnic backgrounds.
  • Specialized knowledge of computers, the operations of software programs, and computerized eligibility and tracking systems.
  • Specialized knowledge of public and private community resources.
  • General knowledge of customer service principles.
  • Excellent research and writing skills for purposes of evaluating and reporting on services.
  • Able to:
    • Use tact and empathy in dealing with people of diverse backgrounds.
    • Address the public in an open forum or to address special interest groups and organizations such as local service groups or groups of service providers.
    • Communicate well, both verbally and in writing.
    • Prepare clear, concise reports.
    • Exercise sound judgment while managing crisis situations.
    • Manage multiple priorities.
    • Analyze complex and varied situations and negotiate resolutions to complex problems or situations.
    • Anticipate problems and initiate corrective actions.
    • Develop, coordinate, and present training programs.
    • Work independently.
  • Understanding of the DCS Practice Model.

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
