Salary Range: $19.63 - $29.44 per hour 

Duties:

  • Provide day to day administrative support of Learning Management Systems (LMS) via data entry, course & class creation and scheduling, transcript management, Vendor file transfers, reports management, and course and class assignments for new hires and current staff.
  • Support training/class preparation to include general office administrative support e.g., making posters and flyers, creating training materials, and class rosters
  • Create and distribute training schedules via internal (intranet) and external communications
  • Manage training room calendar and training rooms to ensure availability.
  • Collaborate with Office of Talent Management for staff certifications and licensure monitoring and compliance.
  • Oversee organization and implementation of Skills fairs, New Employee skill competency orientation and third-party vendor products such as workplace violence prevention programs.
  • Support clinical student placement opportunities by collaborating with academic partners to ensure safe onboarding and orientation procedure. Provide administrative support with student tracking, compliance, report generation.
  • Be responsible for purchase orders and tracking for department.
  • Collaborate with interdisciplinary teams with administrative work as needed
  • Perform other duties as required.

Skills/Qualifications:

  • Must be a self-starter and able to work with minimal supervision
  • Proficient in Microsoft suite and/or other productivity software
  • Able to learn new programs quickly and assist others when needed.
  • Excellent verbal and written communications skills.
  • Must be detail-oriented with a strong work ethic.
  • Be able to assist with the management of complex projects and flexible to changing priorities
  • Ability to work well under pressure and to deadlines.
  • Be willing to provide support cross departments in line with Island Health CARE values.

Preferred Requirements:

  • A minimum of four (4) years of administrative assistant or equivalent experience.

Work Environment:

While performing the duties of this position, the employee is exposed to inside environmental conditions, protected from weather conditions but not necessarily from temperature changes. The employee may be exposed to dust, pollens, pollutants, fumes and communicable diseases as related to a health care environment. The noise level in the work environment is usually moderate.

Physical Demands:

While performing the responsibilities of this position, the employee is regularly required to talk, and have hearing sufficient to understand conversations, both in person and on the telephone. The employee is often required to sit for potentially long periods of time throughout the workday. Manual dexterity of hands and fingers, to handle or feel and to manipulate keys on a keyboard. The employee is occasionally required to stand; walk, climb or balance; stoop, kneel, or crouch; lift and/or move up to 25 pounds and use hands to finger, handle, or feel objects, tools, or controls, and reach with hands and arm. Vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus sufficient to operate computer systems.
