Description
The Loan Operations Manager performs various tasks specifically related to the Loan Servicing of all loan types as detailed below. All duties are performed in accordance with establishment guidelines and policies. Supervises and coordinates activities of personnel involved in performing various Loan Servicing functions by performing the following duties personally or through subordinates. This position requires that the individual work in office, independently, and with minimal supervision.
Ensures compliance within all Bank policies and procedures, as well as all applicable state and federal banking regulations.
Essential Duties and Responsibilities:
- Manages day-to-day Servicing Team responsibilities in the following areas:
- Post closing callback
- General Ledger reconciliation
- Loan payoffs
- Escrow processing, various Insurance tracking, Flood analysis & Property Tax delinquency monitoring
- SBA Guidehouse Remittance
- Application and validation of loan payments and draw requests
- Loan Maintenance Activity & Loan Master File review and validation
- Customer service for both internal and external clients
- Documentation organization and security
- Supervision of Loan Servicing staff
- Manage staff time off requests to ensure continuity of productivity
- Identify potential areas of vulnerability and risk
- Review servicing operational processes for additional technology enhancements and process improvement
- Act as system administrator for various systems, including core servicing system Fiserv DNA
- Assist Loan Administrator with development and implementation of new regulations, policies, products and procedures
- Acts as lead or backup in the absence of the Loan Administrator
- Manage audits and exams, including initial preparation, research and response
- Minimum of 10 hours CRA volunteer hours per year. Volunteer hours are typically scheduled within business hours. This is compensable time and mileage is reimbursed
- Other duties as assigned
Supervisory Responsibilities:
Directly supervises Loan Servicing staff. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Qualifications:
- Minimum 7-10 years’ experience in commercial real estate loan servicing or loan origination
- Minimum 3-5 years’ experience in a supervisory / management role
- Must be self-directed, motivated, and comfortable working in an extremely fast paced environment
- Excellent interpersonal communication, time management and customer service skills
- Strong organizational skills are a must with ability to prioritize to meet deadlines and manage multiple projects
- Ability to exercise independent judgment in decision making
- Ability to multi-task in a fast-paced environment
Physical Demands/ Work Environment
The incumbent in the course of performing this position frequently spends time writing, typing, speaking, listening, operating basic business equipment, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, walking, standing, reading documents or instruments, detailed work, problem solving, client contact, reasoning, math, language, presentations, verbal and written communication, analytical reasoning, stress, multiple concurrent tasks, and constant interruptions. The incumbent for this position will occasionally lift up to 15 pounds, pull, squat, kneel and reach. The incumbent is in a non-confined office-type setting in which he or she is free to move about at will. The work environment is typically quiet to a moderate noise level.
Travel may be required locally during the business day, and occasionally there will be out-of-area and overnight travel.
